Job summary

Yale NewHaven Health Bridgeport Hospital is seeking an administrative support specialist to handle a wide range of clinic and department tasks. You will answer calls, schedule procedures, assist with patient check-ins, and manage records and appointments to support a multi-physician team.

Responsibilities include handling referrals, coordinating pre/post instructions, and maintaining inventory and filing systems while delivering excellent patient service in a fast-paced environment.

Qualifications

  • High school diploma or GED required; some college coursework preferred.
  • One to two years of clinical administrative support experience or a bachelor’s degree in combination.
  • Experience with Microsoft Office, EMR systems, and scheduling software preferred.
  • Strong organizational and customer service skills; ability to prioritize multiple tasks.
  • Excellent communication; patient-facing experience preferred.

Responsibilities

  • Answer patient calls, schedule appointments or procedures, and obtain referrals and pre-authorizations.
  • Check-in patients, update demographics, and scan required documents; assemble information.
  • Maintain departmental records and filing systems, including payroll and purchase orders.
  • Provide pre- and post-procedure instructions, schedule testing, and confirm follow-ups.
  • Assist with completion of patient documents related to surgeries and procedures (e.g., FMLA).
  • Monitor and order basic supplies to maintain inventory at appropriate levels.
  • Schedule meetings and travel for physician support; cover other staff duties as needed.
  • Perform other related administrative duties to support a multi-physician team.

Responsibilities
  • 1.Answering patient calls, scheduling appointments or procedures, and obtaining referrals and pre-authorizations for procedures
    • 1.1Composes correspondence on well-defined subjects as requested.
  • 2.Checking patients in upon arrival for procedures, updating demographic information, and scanning required documents for insurance, medical records or other documentation as required. Assembles and compiles information as directed.
    • 2.1Assembles and compiles standardized data from established sources.
  • 3.Maintains departmental record-keeping and filing systems, either paper and/or electronic including payroll, work and purchase orders, etc.
    • 3.1Ensures records are updated accurately in a timely fashion.
  • 4.Provides pre and post procedure instructions, scheduling diagnostic testing, and confirming follow-up appointments
    • 4.1Greets and receives visitors in a pleasant and professional manner.
  • 5.Assists with completion of FMLA or other patient specific documents as related to performed surgeries and procedures.
  • 6.Monitors and orders basic clinical and administrative supplies to maintain inventory at appropriate levels to ensure availability of necessary materials without over-stocking.
  • 7.Schedules meetings, travel and other physician supporting duties as required. May provide coverage for other clinical or administrative staff as necessary.
  • 8.Performs other related general clinical and administrative duties to support multi-physician team as required.
Qualifications
EDUCATION

High school diploma or GED required. Some business course work at the college or technical level preferred. Previous experience in a clinical department, physicians office or service line practice preferred.

EXPERIENCE

One to two years previous experience functioning in a clinical and administrative support role or a combination of experience and Bachelors degree.

SPECIAL SKILLS

Experience using the Microsoft Office Suite including Word, Outlook, Excel and PowerPoint. Good organizational skills with the ability to prioritize multiple tasks appropriately. Excellent customer service and communication skills. Experience with Electronic Medical Records and/or scheduling software preferred. Patient facing experience preferred. Working knowledge of Windows, Word, PowerPoint and Excel.
