Job description

Full Time (40 hours per week)

M-F Primarily 8:30 to 5:00pm

Onsite for Epilepsy and EEG in the Neurodevelopment Science Center

Summary:

Performs secretarial duties for the clinical area/department.

Responsibilities:

  1. Schedules and receives patients/families for all department services (appointments, testing, procedures, etc.)
  2. Answers and routes telephone calls from within or outside of the organization.
  3. Types reports, letters and dictation, Xeroxing, faxing, and data entry into various applications.
  4. Coordinates office procedures and efficient operations of department.
  5. Communicates effectively via personal contact, phone and in writing with patients/families, hospital staff, community professionals, insurance companies, etc.
  6. Accurately uses all Microsoft applications necessary for reports, letters, forms, etc.
  7. May assist with timekeeping and tracking of staff requirements (annual education, performance evaluations, onboarding checklists, orientation, etc. )
  8. Maintains office supplies.
  9. Assists with project work.
  10. Participates in cross coverage efforts with other secretaries/departments as directed.
  11. Other duties as assigned.

Technical Expertise

  1. Requires proficient secretarial skills.
  2. Strong communication (verbal and written), interpersonal and organizational skills required.
  3. Must have telephone skills.
  4. Experience with Microsoft applications preferred.
  5. Ability to work under stressful conditions in an appropriate manner and independently with minimal supervision and maintain confidential information.

Education and Experience

  1. Education: High School diploma or equivalent required.
  2. Experience: Minimum of one (1) years' experience in secretarial duties (answers and routes phone calls, typing, data entry, etc.) required.
  3. Medical field and/or clinical setting with clinical/medical terminology experience preferred.
