Job Summary

The Clinical Research Coordinator will perform independently or with general direction at the fully operational journey level of the series to execute, manage, and coordinate research protocols, as directed by the Clinical Research Supervisor and/or Principal Investigator (PI); may coordinate the data collection and operations of several concurrent clinical research studies under the guidelines of research protocols, UCSF and regulating agency policies.

Incumbent’s duties may include, but will not be limited to supporting the management and coordinating the tasks of single or multiple clinical and basic science research studies, depending on their size and complexity; act as intermediary between services and departments while overseeing data and specimen management; manage and report on study results; create, clean, update, and manage databases and comprehensive datasets and reports; coordinate staff work schedules, assist with training of Assistant CRCs, and assist Clinical Research Supervisor and/or PI with oversight of other research staff; manage Investigator’s protocols in the Committee on Human Research online system, as well as renewals and modifications of protocol applications and the implementation of new studies; participate in the review and writing of protocols to ensure institutional review board approval within University compliance; help assure compliance with all relevant regulatory agencies; oversee study data integrity; implement and maintain periodic quality control procedures; interface with departments to obtain UCSF approval prior to study initiation; maintain all regulatory documents; report study progress to investigators; participate in any internal and external audits or reviews of study protocols; and perform other duties as assigned.

The clinical research coordinator’s time will be split working closely with two clinical investigators, Drs. Stephanie Cham and Jocelyn Chapman, on their respective studies in the division of Gynecologic Oncology.

Overall Expectations Include

This is a primarily in-person role with <25% of work from home. This role includes screening, recruiting, and enrolling eligible patients and track participation over time. This will primarily be based out of UCSF Mission Bay but includes some travel to Parnassus, Mt Zion, and Berkeley Outpatient Clinic. This includes coordinating with oncology providers and research staff in the gynecologic oncology clinic to recruit and enroll patients in-person

  • Attend weekly meetings and meet with the study team
  • Review and abstract health information from patients’ electronic medical records
  • Maintain study databases and ensure data is complete and accurate including RedCap, Excel, AirTable, and e-health/mHealth databases
  • Perform data collection for the studies including pathology specimens from surgery as well as surveys and physical function testing
  • Perform preliminary quantitative and qualitative analyses of study data
  • Support the development and submission of publications, presentations, reports, and other study-related documents
  • Enter data and perform literature searches, administrative duties, and additional tasks as needed

  • Dr. Stephanie Cham is a gynecologic oncology surgeon and cancer care delivery researcher who performs both observational and interventional work to improve outcomes and quality of life in patients with gynecologic cancer. Her current studies include a longitudinal prospective cohort that follows older adults with newly diagnosed cancer and evaluates long-term changes in frailty and quality of life. Her other work includes evaluating disparities and outcomes using small and large databases and designing and implementing interventions.

    In their work with Dr Cham they will specifically (60% of effort):

    • Serve as a study contact for a few longitudinal clinical research studies
    • Perform data collection including surveys, measures of physical function (e.g. such as gait speed, hand grip strength), and medical chart review
    • Prepare and or complete regulatory related reports and IRB submissions. Maintain and organize study regulatory binders, enter all required study data on an ongoing basis.
    • Work directly with patients and their caregivers across a range of cancer stages

    Dr. Jocelyn Chapman is a gynecologic oncology surgeon and the director of the Gynecologic Oncology Tissue bank. The mission of the tissue bank is to be a resource of tissue and matched blood to support research investigations nationwide. This work has contributed to major research projects such as The Cancer Genome Atlas (TCGA) and other NCI designated cancer centers. It is the mission of the tissue bank to support both internal and external research investigations to improve our understanding of the biology of gynecologic cancer in service to the identification of novel cancer treatments. We currently have more than 1,500 annotated human cancer specimens from the full spectrum of rare and common gynecologic cancers.

    In their work with Dr Chapman and the tissue bank they will (40% of effort):

    • Screen surgery and clinic schedules for patients, followed by phone calls and/or emails to patients for participation followed by consenting either in person or through phone
    • Deliver kits for blood collection to the appropriate clinic then retrieve the blood and deliver to the appropriate processing laboratory
    • Data entry for all collected specimens followed by medical records review for background health information then ongoing follow up of treatments and treatment status.
    • Arrangement of transport of tissue to collaborators.
    • Work with developing or revisions on IRB/CHR and BUA data

    A successful candidate will have a desire to work directly with patients and be passionate about supporting research studies that aim to improve our understanding of gynecologic cancers and be dedicated to improving patients’ quality of life, treatment outcomes, physical health, and the adoption of evidence-based practices. They will be an independent problem-solver with excellent communication, interpersonal, and organizational skills. They will have a high level of professionalism, an exceptional attention to detail, and experience managing multiple projects and timelines simultaneously. This is a great opportunity for an individual who is interested in academic research, medicine, health care, or public health. A two-year commitment is preferred.

    The final salary and offer components are subject to additional approvals based on UC policy.

    Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

    The salary range for this position is $34.32 - $55.19 (Hourly Rate).

    The Department of Obstetrics, Gynecology and Reproductive Sciences (OBGYN & RS) is a major academic Department in the School of Medicine, engaged in clinical, research and training activities at Parnassus, Mt. Zion, and the Zuckerberg San Francisco General Hospital campuses; the Betty Irene Moore Women’s Hospital at Mission Bay; as well as satellite locations throughout the Bay Area; with an annual operating budget of approximately $150 million.     Required Qualifications

    • HS graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities; and/or equivalent experience/training
    • Attention to detail; strong interpersonal skills; excellent, effective verbal and written communication skills to coordinate with subjects, team members, other departments and outside institutions; and the ability to multi-task in a fast-paced environment while working with a diverse subject population.
    • Ability to work well independently, complete projects in a timely manner, and prioritize multiple projects to ensure the completion of essential tasks by deadlines.

    Preferred Qualifications

    • BA or BS degree required, with 0-2 years of related experience preferred
    • Interest in academic research, psychology, or medicine
    • Experience working in a medical or scientific research setting or comparable technology-oriented business environment is a plus.
    • Excellent written, oral, and interpersonal communication skills
    • Capable of discussing personal topics with patients in a compassionate, sensitive manner
    • Must be detail oriented, have the ability to follow-through, and have strong problem-solving skills.
    • Proficiency in Microsoft Excel, Word, and PowerPoint and willingness to learn other technologies as necessary (e.g. RedCap)
    • Reliable, self-motivated, and able to prioritize tasks and meet deadlines
    • Ability to work independently and on a team
    • Post-undergraduate experience a plus
    • Interested in academic research, medicine, health care, or public health.
    • Interested in attending graduate school or medical school.
