About the Role
We are looking for a highly motivated, organized, and proactive Clinical Projects & Operations Manager to work closely with our Director of Clinical Projects and serve as a key extension of the clinical team.
This is a unique opportunity for someone who enjoys wearing multiple hats and thrives in a fast-moving healthcare technology environment. The ideal candidate will be equally comfortable organizing clinical documentation, communicating with physicians and hospitals, coordinating projects, preparing legal and regulatory paperwork, demonstrating our technology to prospective partners, and helping move business opportunities forward.
Our clinical work spans multiple countries, healthcare systems, physicians, hospitals, research organizations, and clinical studies. The Director of Clinical Projects currently manages 50+ active accounts and approximately 10 ongoing clinical trials, making this position critical to keeping projects organized, moving forward, and properly documented.
This person will not simply be completing assigned administrative tasks. We are looking for someone who can take ownership, identify what needs to be done, and make it happen.
What You’ll DoClinical Project Support
- Assist with the coordination and day-to-day management of multiple clinical research projects and trials.
- Communicate with physicians, hospitals, research teams, clinical partners, and other stakeholders around the world.
- Track clinical project timelines, deliverables, action items, and outstanding requests.
- Help prepare, organize, and maintain clinical study documentation.
- Coordinate collection of clinical data and study materials.
- Assist with clinical protocols, questionnaires, study forms, and other research documentation.
- Follow up with clinical partners to ensure projects stay on schedule.
- Identify potential problems or delays and proactively bring solutions forward.
- Maintain accurate records of clinical activities and project status.
Account & Partner Management
- Help manage and maintain relationships across 50+ clinical, research, and business accounts.
- Serve as a reliable point of contact for partners and help ensure requests are addressed promptly.
- Track conversations, commitments, deliverables, and next steps.
- Help prepare for partner meetings and follow up afterward.
- Keep account information and documentation organized and current.
- Assist with international partner coordination across different time zones and countries.
Documentation & Operations
- Organize digital and physical clinical and business files.
- Complete and assist with contracts, forms, legal documents, questionnaires, applications, and other required paperwork.
- Coordinate signatures and documentation between internal teams and external partners.
- Maintain organized records and ensure documents are completed accurately and on time.
- Help develop and improve internal processes, checklists, templates, and workflows.
- Take ownership of recurring administrative and operational responsibilities so the Director of Clinical Projects can focus on higher-level clinical strategy and relationships.
This position will also have a commercial component.
You will learn our technology deeply enough to confidently demonstrate our products to physicians, hospitals, research organizations, potential customers, and strategic partners.
Responsibilities may include:
- Conducting product demonstrations and presentations.
- Helping explain our vocal biomarker technology and clinical applications.
- Preparing presentations, proposals, and meeting materials.
- Participating in sales and partnership meetings.
- Following up with prospects and partners.

Preferred Qualifications
- Bachelor’s degree in healthcare, life sciences, clinical research, business, health administration, psychology, biology, or a related field preferred.
- Experience in clinical research, clinical operations, healthcare technology, medical devices, pharmaceuticals, or healthcare administration is highly desirable.
- Experience working with physicians, hospitals, research organizations, or clinical trials.
- Experience with project management or account management.
- Experience with healthcare documentation, contracts, IRB-related documentation, clinical study paperwork, or regulatory processes is a plus.
- Experience presenting or demonstrating software is a plus.
- Sales or business development experience is a plus.
- Experience working with international teams is a plus.

Within the first several months, this person should become someone the Director of Clinical Projects can genuinely rely on.

- Meetings are prepared for and followed up on.
- Clinical trial tasks are tracked.
- The Director knows what needs attention without having to personally track every detail.
- Product demonstrations can be handled confidently.
- New opportunities are identified and supported.
- Processes become more efficient over time.
Ultimately, the goal is for this person to become the right hand of the Director of Clinical Projects and eventually own significant portions of clinical project coordination, account management, and operational responsibilities.
