Job Title: Clinical Operations Trainer
Location: Remote (U.S.-based)
Employment Type: Full-Time Contractor
Position Summary
The Clinical Operations Trainer is responsible for designing, delivering, and continuously improving onboarding and training programs for our rapidly growing virtual medical practice. This role supports providers, clinical support staff (MAs, LPNs, RNs), and patient services representatives. The trainer will create scalable, role-based training pathways that ensure competency, compliance, and confidence across the team.
Key Responsibilities
Instructional Design
- Develop and maintain comprehensive training curricula tailored to clinical, provider, and patient services roles.
- Create and update training materials including SOPs, slide decks, reference guides, and video tutorials.
- Design knowledge checks, assessments, and milestone trackers to reinforce learning objectives.
- Align training content with clinical protocols, operational workflows, and compliance requirements.
Facilitation & Delivery
- Coordinate and lead multiple virtual onboarding cohorts each week.
- Deliver engaging, live virtual training sessions via Microsoft Teams or similar platforms.
- Incorporate demonstrations, simulations, and interactive activities to support adult learning principles.
- Moderate group discussions, roleplays, and practice sessions to build learner confidence and competence.
Systems Training
- Train staff to navigate and utilize our proprietary CareTalk 360 platform and other systems (EHR, telephony) effectively.
- Provide hands-on support to reinforce workflows and documentation standards.
- Monitor trainee progress in live environments and address questions in real time.
Quality & Evaluation
- Implement structured feedback loops including surveys, peer feedback, and performance checkpoints.
- Track training effectiveness through documentation audits, QA reviews, and post-training performance.
- Identify training gaps and recommend content updates or remedial coaching interventions.
Onboarding Coordination
- Facilitate structured shadowing schedules and initial productivity goals for new hires.
- Collaborate with operations and clinical leadership to support transition into full-role responsibilities.
- Monitor onboarding progression across multiple cohorts, escalating issues as needed.
Ongoing Coaching & Development
- When not actively onboarding, partner with operatinal leaders to support underperforming staff.
- Participate in QA reviews, identify trends, and offer coaching plans or refreshers.
- Assist in building a culture of continuous learning and improvement through mentorship and development.
Resource Management
- Maintain a centralized, organized library of training resources accessible to all staff.
- Standardize documentation formats and naming conventions for easy retrieval and reuse.
- Periodically review and refresh content to ensure ongoing relevance and accuracy.
- Assist with quality-related reporting for internal dashboards and external partners as needed.
Qualifications
- 3+ years' experience in training, clinical education, or healthcare operations.
- Experience training across multiple job functions, preferably in a medical practice, virtual telehealth, or startup environment.
- Excellent communication, presentation, and facilitation skills.
- Tech-savvy; able to learn and teach multiple software systems with ease.
- Self-starter who thrives in a dynamic, fast-paced environment.
- Experience with adult learning principles and virtual training best practices.
- Preference given to candidates with:
- Prior experience as an MA, LPN, RN, or healthcare administrator.
- Familiarity with remote care platforms, EHRs, and patient engagement CRMs.
- Experience building training programs from scratch in a startup or growth-stage organization.
