Job Category: Academic Staff Employment Type: Regular Job Profile: Administrative Specialist Job Summary: The BerbeeWalsh Department of Emergency Medicine (DEM) at the UW School of Medicine and Public Health seeks a highly organized and enthusiastic Clinical Operations Coordinator (COC). At the BerbeeWalsh Emergency Departments, we pride ourselves on continuously providing the highest quality of emergency care for our patients. In an effort to provide exemplary patient care, all clinical care is reviewed through our quality improvement programs. This includes a robust peer review process with monthly M&M conferences, as we strive to continually improve the care we provide. The COC will play an integral role in continuing DEM's efforts by managing the department’s clinical quality and scheduling portfolio, which is inclusive of faculty, APPs, Med Flight, and learner cohorts. A successful COC is customer service– oriented, collaborative, a team player, and highly organized. They serve as a central resource to the department’s clinical efforts and are instrumental in ensuring the team has the tools and resources needed to improve the health and well-being of Wisconsin and beyond. This position will assist faculty and department leadership in the successful performance of departmental clinical activities. Responsibilities include continuous tracking, prioritizing, organizing, and communicating multiple ongoing initiatives at various stages of progress. The position requires outstanding administrative, organizational, interpersonal, and computer skills, as well as the ability to work independently and proactively. Key Job Responsibilities
  • Serves on committees and attends meetings, representing the interests of the unit or program
  • Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • Manages clinical scheduling

Compensation

The starting salary for the position is $60,000 annually but is negotiable based on experience and qualifications.

Required Qualifications
  • Minimum of 3 years experience with calendaring and/or scheduling
  • Proficiency with frequently used computer programs (such as Microsoft Office Suite, WebEx, and Zoom (or similar))
Preferred Qualifications
  • Experience working in an academic and/or healthcare environment
  • Demonstrated expertise in scheduling software
  • Experience coordinating meetings and administrative workflows
  • Experience managing phone systems
Education

Bachelor’s Degree preferred

University sponsorship is not available for this position, including transfers of sponsorship and TN visas.
