Job summary

Mass General Brigham Community Physicians, Inc. is seeking an Administrative Associate to greet patients, answer inquiries, and coordinate appointments. You will handle check-in/out, update EHR data, process payments, and support front-desk operations at Newton Wellesley Hospital, MA.

The role requires a high school diploma, healthcare experience, and strong customer service, with Epic experience preferred. Regular daytime hours, full-time schedule, competitive benefits offered.

Qualifications

Responsibilities

Job description

Primary Responsibilities
  • Greet patients and visitors in a friendly and professional manner, ensuring a positive first impression of the healthcare facility.
  • Answer phone calls, respond to inquiries, and provide information about services, appointment availability, and general office policies.
  • Schedule and confirm patient appointments, coordinating with healthcare providers and staff to optimize appointment availability.
  • Manage patient check-in and check-out processes, ensuring accurate documentation and updating patient information in electronic health records (EHR) systems.
  • Collect and process patient payments, co-pays, and insurance information as required.
  • Inventory and supply management.
  • Other duties as assigned from time to time per business needs of the clinic.
Qualifications
  • High School Diploma or equivalent required.
  • Associate's degree in a health related or management field preferred.
  • 1+ years of experience in a similar administrative role, preferably in a healthcare or medical office setting.
  • Epic experience preferred.

  • Excellent customer service and interpersonal skills, with the ability to communicate effectively and professionally with patients, staff, and visitors.
  • Strong organizational and multitasking abilities, with attention to detail and accuracy.
  • Proficiency in using computer systems, electronic health records, and scheduling software.
  • Knowledge of medical terminology, insurance processes, and general office procedures in a healthcare setting.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • Strong problem-solving skills and the ability to remain calm and composed in high-pressure situations.
