About the Role

The Clinical Logistics Coordinator position is responsible for the logistics associated with ground transportation including ambulance dispatch. More specifically, the Clinical Logistics Coordinator is responsible for all INDN driver and vehicle requests to support the logistics needs of organ/tissue teams, hospital, funeral home, and coroner partners, and has oversight with donor check-in, check-out, and courier services. This role provide detailed communication and logistics in a manner that allows Indiana Donor Network to maximize donation opportunities for organ and tissue transplantation. Responsibilities include:

• Ensuring Indiana Donor Network's electronic charting system is finalized with accuracy.
• Completing all documentation accurately.
• Coordinating the dispatch of Indiana Donor Network drivers and ambulances to support the transportation of donor heroes, transplant teams, organs, blood, and equipment.
• Coordinating cases with attention to detail and critical thinking, following established process workflows.
• Facilitating transportation and document collection for Tissue recovery at Indiana Donor Network.
• Updating and maintaining dashboard accurately to provide real time logistics of ongoing cases and locations of teams.
• Understanding the problem solving and logistic decision-making potential as organ and tissue approaches/authorizations occur throughout the shift.
• Assisting organ coordinators with supplies, samples, and special requests during the dispatching process.
• Monitoring courier activity and the process of assessing needs of tissue, organ, and sample movement with internal drivers and external courier partners.
• Reserving and assigning fleet vehicles according to need and availability of resources.

• Producing effective follow up communication to coroners, funeral home directors, and hospitals per Indiana Donor Network guidelines.

Shift Information

This is a day shift position from 7:00 am to 7:00 pm. The days of the week rotate and include every other weekend. It is an onsite role in our clinical building located near 38th and Guion Road.

Who We're Looking For

High school diploma or equivalent required. Associate degree in logistics, transportation, healthcare, business, or a related field preferred. Previous experience in logistics, dispatch, transportation coordination, healthcare operations, or organ procurement organization (OPO) operations preferred. An equivalent combination of education and relevant experience may be considered. Desired knowledge, skills, and abilities include:

• Ability to read, interpret, and follow policies, procedures, and checklists, and provide guidance to others as needed.
• Ability to exercise sound judgment, prioritize competing demands, and make timely decisions with an appropriate sense of urgency.
• Ability to manage multiple tasks simultaneously while maintaining accuracy, organization, and attention to detail in a fast-paced, high-stress environment.
• Ability to remain calm, professional, and adaptable during stressful or rapidly changing situations.
• Strong verbal, written, and interpersonal communication skills, with the ability to communicate accurately and effectively with diverse audiences, including hospital partners, clinical staff, coroners, funeral homes, families, and coworkers.
• Demonstrated active listening, customer service, and relationship-building skills.
• Ability to identify issues requiring escalation and effectively utilize available resources to resolve problems.
• Demonstrated critical thinking and problem-solving skills to evaluate situations, develop solutions, and overcome obstacles professionally.
• Proficiency in using computers, electronic applications, and online documentation systems, including accurate data entry while multitasking.
• Knowledge of medical terminology and organ/issue donation processes.
• Ability to work collaboratively in a team environment while maintaining confidentiality.
• Ability to work additional shifts, including evenings, weekends, and holidays, as operational needs require.
