We are seeking a highly organized and detail-orientedClinical Operations Coordinatorto support clinical training activities and educational programs at a state-of-the‑art medical aesthetics training center in Austin, TX.
This individual will serve as the central point of contact for clinical operations, coordinating patient scheduling, training activities, clinical documentation, and logistical support for educational programs. The ideal candidate will have experience in a medical or patient care environment, strong administrative and organizational skills, and the ability to provide exceptional, concierge-level service to patients, healthcare professionals, and internal stakeholders.
Coordinate daily clinical operations, including patient scheduling, clinical calendars, treatment appointments, and educational training events.
Serve as the primary point of contact for clinical activities, ensuring seamless communication between patients, healthcare professionals, and internal teams.
Manage scheduling, resource allocation, and logistical arrangements for clinical training and educational engagement programs.
Assist with patient documentation, including pre-charting, medical clearances, and before-and-after photography.
Support clinical staff with patient communication, preparation of treatment rooms, clinical supplies, and general patient care coordination.
Prepare clinical training materials, patient education resources, and supporting documentation.
Monitor and maintain inventory of clinical supplies, ensuring materials and equipment are available for scheduled activities.
Assist with budget tracking, purchase order creation, and procurement of clinical supplies.
Coordinate with external vendors to ensure services and projects are completed on time and within budget.
Support the planning and execution of additional clinical education programs, training sessions, and special events.
Ensure clinical activities and documentation comply with applicable regulatory requirements, company procedures, and safety standards.
Perform additional administrative and operational duties as needed.
Bachelor's degree required.
Experience in customer service, administrative coordination, or project management.
Strong organizational, scheduling, planning, and prioritization skills.
Excellent verbal and written communication skills with the ability to interact professionally with patients, healthcare professionals, and cross-functional teams.
Ability to deliver high-quality, concierge-level customer service in a clinical or professional environment.
Strong proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
Ability to manage multiple priorities, meet deadlines, and adapt to changing schedules in a fast-paced environment.
Strong attention to detail, problem‑solving abilities, and a collaborative approach to teamwork.
Willingness to work flexible hours, including occasional evenings, weekends, and overtime.
1–2+ years of experience in a medical setting, patient care coordination, medical assisting, or clinical operations.
Experience supporting patient scheduling, clinical documentation, medical clearances, or patient intake.
Previous experience coordinating medical training programs, clinical events, or healthcare education activities.
Familiarity with FDA regulations, medical device quality standards, or other applicable healthcare regulatory requirements.
Experience with inventory management, purchase orders, vendor coordination, or budget tracking.
Must be able to work100% onsite in Austin, TX.
Ability to travel up to 25%, including occasional domestic, overnight, evening, or weekend travel.
Ability to work in a clinical training environment while following appropriate safety procedures and regulatory guidelines.
Ability to sit, stand, walk, and perform computer‑based administrative duties throughout the workday.
Ability to lift up to 10 pounds regularly and up to 25 pounds occasionally.
