Job Profile Summary

This role focuses on providing administrative and business support to the organization to achieve operational goals. It involves performing clinical administration duties such as long-term strategic planning, identifying strategic issues and opportunities, prioritizing and tracking investments, allocating resources, and making decisions related to practice growth and vision development. The role is organizational support or service-oriented, operating in a hands-on environment, primarily delivering support services under supervision. It is an entry-level position requiring minimal prior knowledge or experience, with routine work following standard procedures, and close supervision.

Job Overview

Under general supervision, this position supports clinic or office activities and provides administrative support for clinical providers. It assists with workflow operations, document and file maintenance, and project tasks. The role maintains high customer service levels through frequent patient contact and plays an important part in revenue cycle processes, clinic operations, and patient experience.

Job Description

Preferred Qualifications:

  • High School diploma or equivalent.
  • Two (2) years of experience supporting customers.
  • Bilingual.
Duties and Responsibilities

The listed duties are general and not exhaustive; other duties may be assigned.

  • Schedule patient appointments, including follow-ups, testing, labs, and surgical bookings.
  • Assist with scheduling template creation and modifications.
  • Answer phones, triage calls, respond to patient requests, and take messages.
  • Greet and check-in patients, verify demographic and insurance info.
  • Assist with revenue cycle tasks like registration, referrals, and insurance verification.
  • Collect copayments.
  • Prepare medical records and load information into EMR system.
  • Monitor patient flow and communicate delays.
  • Assist with billing and reconciliation.
  • Perform general office tasks such as faxing, filing, mailing, and supplies management.
  • Provide clerical support to physicians.
  • Participate in performance improvement projects.
Physical Requirements
  • Frequent sitting, occasional standing, lifting 10-15 lbs.
  • Potential exposure to dust and office discomforts.
  • Manual dexterity for computer work.
  • Ability to see and hear instructions and reports.
  • Exposure to hazardous materials like blood.
