Job description

Job Title: Clinic/Practice Assistant

We are seeking a full-time, 40-hour Clinic/Practice Assistant to support our team onsite from 8:00am to 4:30pm, Monday through Friday.

Role Overview: Clinic/Practice Assistants play an integral role in the operations of our community-based physician practices. They are dedicated to providing administrative support, serving as gatekeepers of our practices, and ensuring a high-quality experience that exceeds our patients' expectations.

Support Responsibilities:

  1. Leading up to the patient visit, schedule all appointments, conduct reminder outreach, and obtain prior authorizations from insurances when needed for specific exams.
  2. During the patient's visit, handle check-in processes including greeting patients, answering questions, collecting co-payments, downloading diabetes meters, and assisting with pre-visit paperwork/forms.
  3. At check-out, schedule follow-up appointments, tests, and procedures.
  4. Field all incoming telephone calls and triage appropriately.
  5. Monitor patient flow and waiting room activity.
  6. Provide support to practice leadership, clinicians, and peers.

Qualifications:

  • High School Diploma or Equivalent required.
  • No experience in lieu of a degree accepted.
  • Office experience of 3-5 years required.

Knowledge, Skills, and Abilities:

  • Strong technology skills and proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
  • Knowledge of office operations, procedures including filing, copying, scanning, printing, and faxing.
  • Ability to manage phone systems and handle routine issues.
  • Effective communication skills, both written and verbal.
  • Ability to manage time effectively and organize multiple tasks.
  • Proofreading and editing skills.
