Clinic Manager, Central Valley
Job Summary
The Clinic Manager, Central Valley Region (Bakersfield and Visalia sites), oversees the clinical operations, ensuring efficient and patient-centric care delivery. This role is responsible for organizing and supervising daily clinic activities, optimizing workflow, and maintaining a high standard of clinical excellence. The Clinic Manager fosters a positive work environment, provides leadership to the clinic staff, and collaborates with healthcare providers to ensure exceptional patient experiences.
Duties / Responsibilities:
1. Staff Management:
- Recruit, hire, train, and supervise clinical and administrative staff.
- Conduct regular performance evaluations and provide feedback and coaching to staff members.
- Develop and implement staff schedules to ensure adequate coverage and efficient workflow.
- Responsible for processing employee timecards for all staff in the region.
- Interface with practice administration to represent the Central Valley region and advocating as necessary on the region’s behalf.
- Provide mentorship and support to encourage professional growth and development within the team.
- Lead by example, demonstrating integrity, resilience, and commitment to operational excellence.
- Collaborate with Front Desk staff to oversee patient scheduling, registration, and intake processes.
- Ensure patients receive timely and appropriate care.
- Address patient concerns and complaints in a professional and timely manner.
- Monitor patient satisfaction and implement improvements as needed.
3. Operational Management:
- Oversee clinic operations at all the facilities in the region to optimize productivity.
- Develop and enforce clinic policies and procedures to meet regulatory standards and operational excellence.
- Manage inventory of medical and office supplies and equipment maintenance
- Ensure facility cleanliness and staff adherence with hygiene and safety protocols.
- Handle medical waste disposal in accordance with regulations.
- Coordinate with vendors and suppliers for timely delivery of goods and services.
- Serve as primary user of electronic practice management and electronic health records and other practice systems.
- Provide support as needed in technical or front-office roles.
- Perform other duties as assigned.
4. Training Program Development:
- Collaborate with the Clinical Operations Manager and/or Director of Operational Excellence to develop and deliver training content tailored to practice needs.
- Conduct in-person or remote practical training sessions for technicians, covering various aspects such as patient history taking, documentation and EHR management.
- Mentor and coach new technicians during their onboarding process, providing constructive feedback for continuous improvements.
- Evaluate technicians performance through observations, assessments, and feedback.
- Maintain accurate training records and documentation.
- Stay updated on current ophthalmic practices, scribe best practices and EHR advancements to ensure training programs are relevant and effective.
- Perform internal chart audits to ensure compliance and accuracy in documentation.
- Work closely with Chief Operations Office (COO) to monitor clinic revenue and expenses and identify opportunities for improvement.
- Oversee billing and coding processes to ensure accurate and timely submission of claims. Ensure technicians code correctly and patient charts are completed and accurate.
- Work with billing staff and insurance companies to resolve billing issues and denials.
- Collaborate with COO to develop and implement strategies to increase revenue and control costs.
6. Quality Assurance:
- Implement quality assurance programs to monitor and improve patient care outcomes.
- Conduct regular audits of clinical processes and documentation to ensure compliance with quality standards.
- Collaborate with physicians and staff to identify areas for improvement and implement corrective actions.
7. Compliance and Regulatory Affairs:
- Ensure compliance with state and federal regulations, including HIPAA, OSHA, and Medicare/Medicaid guidelines.
- Keep abreast of changes in healthcare regulations and implement necessary updates to policies and procedures.
- Prepare for and participate in regulatory inspections and audits.
8. Collaboration and Communication:
- Foster a cohesive team environment by promoting collaboration and communication among clinic staff.
- Serve as a liaison between physicians, staff, patients, and other healthcare professionals.
- Communicate effectively with stakeholders regarding clinic policies, procedures, and initiatives.
Requirements
About the Candidate
Preferred Skills / Abilities:
- Comprehensive knowledge of ophthalmic care practices and procedures.
- Certification in ophthalmic care (OSC, COA, COT, or COMT) preferred.
- Experience in employee management and leadership roles preferred.
- Proficiency in MS Office Suite and Practice Management platforms, particularly NextGen.
- Familiarity with ICD-10 coding and regulatory requirements in retina care.
- Excellent communication and interpersonal skills, with the ability to interact effectively with healthcare professionals and patients.
- Strong leadership abilities with a focus on guiding, mentoring, and inspiring clinical staff.
- Experience in managing and optimizing clinical workflows to enhance efficiency and patient care outcomes.
Education and Experience:
- Relevant certifications in healthcare management or retina care.
- Previous experience in clinical supervision or management roles in a healthcare setting.
- Bachelor's degree in healthcare administration, business administration, or a related field preferred.
- Previous experience in healthcare management, preferably in a retina practice or ophthalmology setting.
- Familiarity with IntelleChartPRO Electronic Medical Records (EMR) system and NextGen Practice Management software is a plus.
- Strong leadership and interpersonal skills, with the ability to motivate and inspire staff.
- Excellent organizational and problem-solving abilities.
- Knowledge of healthcare regulations and compliance requirements.
- Proficiency in medical billing, coding, and electronic medical records systems.
- Ability to work effectively in a fast-paced and dynamic environment.
