Dr Emma Clinics in Ulster is seeking a Clinic Coordinator to deliver a luxurious patient experience from first enquiry through to follow-up. This role blends high-end hospitality with appointment management, patient journey coordination and clinic administration; you will be the welcoming face ensuring every interaction is discreet, professional and personalised.

Role Overview

Dr Emma Clinics is looking for an exceptional Clinic Coordinator to join our team and help deliver an outstanding, luxury patient experience from first enquiry through to follow-up.

This is a varied, patient-focused role combining high-end hospitality, appointment and diary management, patient journey coordination, enquiry management and clinic administration. You will be the welcoming face of the clinic, building genuine relationships with patients while ensuring every aspect of their experience is seamless, professional and personalised.

The ideal candidate will be warm, polished, highly organised and confident, with excellent communication skills and a natural eye for detail. You’ll be comfortable working in a fast-paced clinical environment, managing multiple priorities and maintaining the highest standards of discretion, professionalism and patient care.

Experience within medical aesthetics, private healthcare, luxury hospitality or a premium client-facing environment would be highly advantageous.

Key Responsibilities

• Deliver a warm, discreet and personalised welcome to every patient and guest.
• Manage the end-to-end patient journey, from initial enquiry and booking through to treatment and follow-up.
• Manage clinician diaries, appointments, cancellations, rescheduling and waiting lists efficiently.
• Respond to telephone, email, website and social media enquiries with confidence and professionalism.
• Help patients understand the practical aspects of their agreed treatment plans, including appointments, preparation, costs and follow-up.
• Build strong, genuine relationships with patients and support long-term retention and continuity of care.

Requirements & Qualifications

• Previous experience in clinic coordination, patient care, private healthcare, medical aesthetics, luxury hospitality or a premium client-facing environment.
• Exceptional communication and interpersonal skills, both verbal and written.
• A warm, polished and naturally personable approach to patient care.
• Professional, discreet and trustworthy, with a strong understanding of patient confidentiality and GDPR.
• A genuine interest in aesthetic medicine, skin, wellness and patient experience.
