Job description

Schedule: Full-time 40 hours / week Monday - Friday, typical shift 8am - 4:30pm. Position supports upcoming Chippewa Falls PHP/IOP location opening Fall 2026.

Responsibilities
  • Perform departmental clerical and receptionist functions, including answering phones within three rings, greeting visitors, and directing calls.
  • Coordinate patient information, maintain confidentiality of files, and support clinic operations.
  • Manage appointment scheduling, file documents, copy, sort mail, and maintain filing system.
  • Perform billing functions: produce and verify claims, prepare deposit worksheets and tickets, balance accounts receivable, reconcile deposits, and prepare fee bills and vendor bills.
  • Log payments, post denials, manage Excel‑based payment tracking, and assist with monthly statements.
  • Maintain accurate medical records, review active records, file lab reports, and ensure correct placement of forms.
  • Order and distribute supplies, manage weekly food orders, and ensure fiscal prudence to avoid interruptions in care.
  • Assist with patient arrival/discharge, respond to codes and crisis situations, and coordinate with clinical staff.
  • Participate in hospital committees, meetings, and team projects; take minutes when needed and promote a positive, solution‑oriented culture.
  • Support system changes, refine communication processes, and identify and resolve operational problems.
  • Attend in‑services, fire drills, and other mandatory training; comply with HR, Infection Control, and other hospital policies.
  • Use computer/software for documenting and completing job responsibilities; proficient with standard office software and Cerner EHR.
  • Train new staff on regulations, standards, and department procedures; support student interns as directed.
  • Implement performance improvement processes, and support department and hospital improvement plans.
Education & Training Requirements
  • 18 years of age or older, high school diploma required.
  • Graduate of a two‑year medical billing/coding program strongly preferred.
  • Proficiency with electronic health record software required; Cerner preferred.
  • Previous experience in a psychiatric setting preferred.
  • Valid driver's license with approved driving record required.
  • American Heart Association Provider CPR certification required within 30 days of hire; annual recertification required.
  • Formal training in crisis prevention and intervention required within 60 days of hire; annual recertification required.
