Qualifications

  • Bachelor's degree or equivalent experience required or preferred.
  • Experience in financial services or regulated environments is preferred.
  • Strong written and verbal communication skills, and organizational abilities.
  • Proficiency with AI tools (Claude, ChatGPT) and Microsoft Office suite.

Responsibilities

  • Serve as primary contact via phone, email, or in person and ensure a smooth client experience.
  • Coordinate onboarding processes and maintain accurate records for clients.
  • Support internal teams and use AI tools to improve efficiency and productivity.
  • Process routine account activities and updates; track requests and follow up on tasks.
  • Prepare materials and reports for meetings and coordinate scheduling and logistics.
  • Maintain compliance-related records and assist with audits as needed.
  • Collaborate with external partners and custodians to resolve issues.

Responsibilities
  • Serve as a primary point of contact for inquiries via phone, email, or in person
  • Support onboarding processes by coordinating documentation and ensuring a smooth experience
  • Maintain organized and accurate recordkeeping systems
  • Use AI tools where they help you move faster and produce better work
  • Process routine account activities, transactions, and updates (training provided)
  • Monitor and track incoming and outgoing requests
  • Follow up on outstanding tasks to ensure timely completion
  • Coordinate with external partners or vendors to resolve issues
  • Prepare materials, reports, and documentation for meetings
  • Track and execute follow-up items from meetings
  • Manage calendars, scheduling, and logistics
  • Provide general administrative and operational support across teams as needed
  • Assist with internal systems and tools setup
  • Maintain accurate and up-to-date records
  • Support periodic reviews, audits, or compliance-related tasks
  • Follow established processes and procedures
  • Utilize available technology and tools to improve efficiency and productivity
  • Handle sensitive information with discretion and confidentiality
Requirements
  • Experience in financial services or a regulated industry strongly preferred
  • Bachelor\’s degree or equivalent experience
  • 2–3 years of experience in operations, administrative support, or a related field
  • Proficient in AI tools such as Claude and ChatGPT
  • Proficiency with Microsoft Office, including PowerPoint and Teams
  • Proficient in Slack
  • Strong communication skills, both written and verbal
  • Excellent organizational and time management abilities
  • Proficiency with common workplace tools (e.g., Microsoft Office, collaboration platforms)
  • Ability to manage multiple priorities independently
  • Experience with custodians like Schwab or similar platforms preferred
  • Familiarity with account management or operational processes
  • Interest in long-term career growth within the organization
