Responsibilities include processing transactions, coordinating onboarding, and maintaining records with precise data. You will communicate with clients, custodians, and internal partners while escalating complex issues to senior staff as needed.

Responsibilities

  • Serve as primary service contact for assigned households, managing day-to-day service needs with accuracy and responsiveness.
  • Process account updates, contributions, distributions, transfers, maintenance requests, and other service transactions per procedures and data standards.
  • Coordinate onboarding activities, including documentation collection and custodial account opening support.
  • Prepare client review materials and maintain accurate client records with signatures.
  • Communicate with clients regarding activity, timelines, and documentation needs.
  • Consult with custodians, advisors, and internal partners to resolve service requests.
  • Oversee moderately complex client inquiries, escalating when needed with context and next steps.
  • Maintain CRM accuracy and ensure documentation is complete and compliant.
  • Identify inefficiencies and suggest workflow improvements.

Job description

Independently manage day-to-day client servicing activities for assigned households, ensuring accurate processing, proactive communication, and adherence to service, documentation and compliance standards. Serves as a primary service contact for moderately complex relationships, coordinates service requests across internal teams and custodians, and escalates complex issues appropriately. Supports execution aligned with client coverage models and contributes to workflow improvements that enhance service quality and consistency.

Core Responsibilities:
  • Serve as primary service contact for assigned households, managing day-to-day service needs with accuracy and responsiveness
  • Process account updates, contributions, distributions, transfers, maintenance requests, and other service transactions in accordance with established procedures and data standards
  • Coordinate onboarding activities, including documentation collection, custodial account opening support, and tracking of outstanding requirements
  • Prepare client review materials, organize documentation for signatures, and maintain accurate client records
  • Communicate directly with clients regarding account activity, service timelines, documentation needs and follow up items
  • Consult with custodians, advisors, and internal partners to resolve service requests and ensure timely completion of transactions
  • Oversee moderately complex client inquiries independently, exercising judgment within established guidelines
  • Escalate higher risks, complex or ambiguous situations to Senior Client Services Specialist or Supervisor while providing context and recommended next steps
  • Maintain CRM accuracy and ensure documentation is complete, compliant, and aligned with service standards
  • Identify process inefficiencies or recurring issues and recommend workflow improvements to enhance service quality

Gearing: 300 – 400 client households

Required Knowledge, Skills, and Abilities:

Desired Knowledge, Skills, and Abilities:
  • Financial services experience
  • Knowledge of custodial processes
Minimum Required Education & Experience:
  • High school diploma or GED required
  • Minimum of 3 years of experience in financial services or administrative experience
