Position Summary:

The Client Services Representative at CORE’s Outpatient Clinic will work as a first point of contact, both at the front desk and on the phone/email offering compassionate care and excellent communication when scheduling appointments, responding to inquiries, taking messages, and routing calls to our Outpatient and Residential settings.

The Client Services Representative position will be responsible for ensuring the organizational culture at CORE is upheld. ESSENTIAL DUTIES:

1. Respond to phone calls, inquiries and emails directed from the informational CORE email inbox, triage and follow up on requests. Manage referrals.
2. Receive visitors, vendors, and individuals with appointments. Offer a friendly reception, respond to needs, and offer brief interactions. Update insurance and demographic information.
3. Manage office operations, such as equipment maintenance, inventory of supplies and equipment, maintaining office files, opening, and closing of office building and other duties to ensure office runs efficiently.
4. Assist in faxing information, filing, or photocopying.

Client Interaction:

• Greet, and check in clients as they arrive for appointments.
• Schedule client appointments
• Maintain confidentiality of all clients and be mindful of others within hearing distance.
• Verify client demographic and insurance information.

Qualifications & Skills Required:

1. Must have computer skills, including experience with PC computers, Microsoft Office & Word, Excel, Powerpoint and image files. Experience with EMR a plus.
2. Ability to manage, schedule, and administrate multiple tasks and assignments.
3. Excellent verbal and written communications skills.
4. Must be a teachable and contributing team member.
5. Ability to work in a fast paced and potentially stressful environment.
6. Ability to be a problem-solver and self-starter.
7. Follow agency protocols and policies.
8. Must be flexible to change, have ability to work on a variety of assignments and/or projects simultaneously.
9. Must be able to work for a variety of personalities and requests, sometimes on short notice.

11. Must be able to handle a fast-paced work environment.

Education & Experience:

• A minimum of a high school education or equivalent.
• Strong desktop computer skills.
• Experience with EMR is preferred.
• Prior experience in a clinic setting is preferred.
• Must be able to stand on your feet for 3-4 hours at a time and be able to lift up to 50lbs.
