POSITION SUMMARY: (WHAT, HOW, WHY)
The Receptionist serves as the first point of contact at the Opportunity Center, offering a warm and professional welcome to all visitors, clients, and community partners. This role is essential in creating a positive first impression while supporting the smooth flow of information and services. The receptionist will manage in-person interactions as well as digital communications, and will be a key part of ensuring clients are connected to the right support quickly and efficiently.

MINIMUM REQUIREMENTS:

EDUCATION, EXPERIENCE, AND LICENSING REQUIREMENTS:
  • High school diploma or equivalent required; additional training in office administration or customer service is a plus.
  • Experience in a front desk, receptionist, or customer service role preferred.
  • Strong interpersonal and communication skills, both verbal and written.
  • Comfortable using technology including email, scheduling platforms, Microsoft Office (Word, Excel, Outlook), and possibly CRM or case management systems.
  • Highly organized with the ability to manage multiple tasks at once.
  • Compassionate, patient, and culturally sensitive approach when interacting with the public.
  • Ability to work independently and as part of a team in a fast-paced environment.
ESSENTIAL DUTIES:
  • Greet all visitors with professionalism and warmth, creating a welcoming environment.
  • Manage front desk operations, including monitoring lobby activity and maintaining a clean, organized reception area.
  • Respond promptly and accurately to inquiries received via phone, email, and digital platforms (such as online forms, chat tools, or appointment scheduling systems).
  • Direct clients to appropriate team members, services, or resources based on need.
  • Schedule and confirm appointments using shared calendars and scheduling software.
  • Support administrative functions such as data entry, document scanning, mail distribution, and inventory tracking for front desk supplies.
  • Maintain a high level of confidentiality and professionalism when handling client information.
  • Collaborate with staff to support daily operations, community events, and special projects.
  • Maintain a thorough understanding of all programs and services offered at the Opportunity Center to provide accurate information and guidance to clients and visitors.
  • Assist with client intake processes, including initial paperwork, data collection, and connecting individuals to internal and external resource referrals as needed.
PERODICAL DUTIES:
  • Process billings and submit to Accounting
  • Process requisitions for purchases needed for the operation of guidelines.
  • Filing as needed to meet needs of the department.
  • OCCASIONAL DUTIES:
  • Provide back-up coverage for clerical support needs within the facility.
  • Provide training for new staff on use of telephones, computers and provide basic information of front office operations.
