Job description

An established independent wealth management practice in Red Bank, NJ is seeking an experienced Client Service Coordinator to join its growing team.

This opportunity is ideal for someone who enjoys the operational and administrative side of supporting a Financial Advisor and their clients, but prefers a primarily behind-the-scenes role rather than a traditional client-facing position.

While similar to a Client Service Associate position, the Client Service Coordinator will focus more heavily on back-office operations, processing client requests, managing paperwork, and ensuring that the advisor and broader team have the support needed to deliver a high level of client service. This individual will play an important role in keeping the practice organized, efficient, and running smoothly.

The firm provides comprehensive wealth management and financial planning services, with a significant focus on life insurance and annuity solutions. Experience supporting insurance-related business is particularly valuable, and candidates with a strong insurance background will be considered even if they have limited traditional wealth management experience.

Responsibilities
  • Provide day-to-day operational and administrative support to a Financial Advisor and the firm's client service team
  • Process and track client service requests, account paperwork, applications, and other administrative transactions
  • Assist with life insurance and annuity applications, policy servicing, beneficiary changes, and ongoing documentation requirements
  • Coordinate directly with insurance carriers and other financial institutions to resolve outstanding items and ensure timely processing
  • Monitor pending insurance and annuity business, following up on outstanding requirements and keeping the advisor informed of progress
  • Maintain accurate and organized client records, account information, and documentation
  • Assist with new account openings, account maintenance, transfers, and other operational requests
  • Prepare paperwork and supporting materials for advisor meetings and client follow-up
  • Coordinate with advisors, internal team members, and outside providers to ensure requests are completed accurately and efficiently
  • Track outstanding tasks, follow up on pending items, and help maintain consistent operational workflows
  • Assist with general office administration and other responsibilities that support the advisor and overall practice
Qualifications
  • Previous experience in a client service, operations, or administrative support role within financial services, insurance, or wealth management
  • Experience with life insurance and annuity products, applications, and policy servicing is highly preferred
  • An insurance license is a plus but not required
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities
  • Comfortable working with financial paperwork, client records, and administrative processes
  • Strong communication skills and the ability to coordinate effectively with advisors, colleagues, and outside providers
  • A proactive, dependable, and service-oriented approach to supporting a busy financial advisory practice
  • This is an excellent opportunity for someone who enjoys the operational side of financial services and takes pride in keeping things organized, accurate, and running efficiently. The position offers the ability to contribute meaningfully to a successful advisory practice without the business development or extensive client-facing responsibilities often associated with traditional wealth management roles.

This is a full-time, in-office position in Red Bank, NJ, and/or Colts Neck, NJ Monday through Friday with one day of remote work per week.
