Responsibilities

  • Mailroom Operations: process outgoing shipments, assist with large mailings, receive and distribute mail and packages.
  • Print Requests/Fleet Management: process print and reprographics requests, submit service requests for printers.
  • Pantry Maintenance: conduct pantry sweeps, restock, monitor and order supplies.
  • General Office Support: assist with events, lift/move boxes up to 40 lbs, support day-to-day operations.
  • Supply Management: restock office supplies, maintain inventory records, advise reordering needs in writing.

Job description

We are seeking a reliable and detail-oriented Client Services Associate to join our team. The ideal candidate will be responsible for mailroom tasks, print production, restocking and maintaining inventory for office and pantry supplies, while providing support to ensure smooth office operations at both client locations. This role also offers opportunities to learn and develop additional office skills, including spreadsheet and document creation.

Key Responsibilities
Mailroom Operations
  • Process outgoing shipments, including FedEx and other carriers.
  • Assist with large mailings, shipments.
  • Receive and distribute incoming mail and packages.
Print Requests/Fleet Management
  • Process print and reprographics requests.
  • Check and submit service requests for all printers.
Pantry Maintenance
  • Conduct scheduled pantry sweeps.
  • Restock pantry supplies.
  • Monitor and order pantry supplies.
General Office Support
  • Assist with organizing office events and setups
  • Lift and move boxes weighing up to 40 lbs safely.
  • Collaborate with the onsite team to support day-to-day office operations.
Supply Management
  • Restock office supplies as needed.
  • Maintain inventory records for office supplies.
  • Advise office team when and what reordering /replenishment is required in a written format.
Requirements
  • Strong attention to detail and organizational skills
  • Ability to lift and move boxes up to 40 lbs.
  • Basic knowledge of shipping processes, particularly FedEx (preferred but not required).
  • Willingness to learn, grow and participate in an open plan office environment. Open to learning and acquiring new skillsets in spreadsheet creation and document preparation.
  • A positive attitude and ability to work both independently and contribute as part of a team.
Preferred Skills
  • Familiarity with basic office software, including Excel and Word.
  • Previous experience in inventory management, print production, or mailroom operations.
  • Good organizational skills, comfortable with paperwork, recording keeping, note taking.
Additional Responsibilities
  • This role involves physical tasks such as lifting and moving boxes and organizing supplies.
  • Office-based position with a focus on hands-on tasks.
  • Respectful and comfortable working with all levels of management and support staff.
  • Comfortable and amenable to juggling a variety of tasks, shifting priorities but remaining on track and finishing EOD goals and tasks.
  • Responsible, dependable and cognizant that a team effort is a group effort. Innate willingness to pitch in and assist where called up and work with different departments and personnel in addition to onsite team.
Qualifications and Education Requirements
  • High School Diploma (or equivalent) required.

Physical Demands
  • Approximately 50% of the time this position require the below physical demands.
  • Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.
  • Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.
  • Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.).
  • Ability to communicate and decern information effectively with onsite staff using vision, hearing, and oral/written comprehension.
  • Ability to lift or move 40 lbs. or greater frequently.
  • Ability to physically move efficiently between inter-office locations.
Travel

Local travel via foot or public transportation.
