Job summary

ArisGarde in downtown Charleston seeks a detail-oriented operations professional to support client service and wealth management workflows. You will help coordinate meetings, process paperwork, and maintain client records to enable advisors to deliver exceptional service.

This full-time role combines client service, office operations, and process improvement with room to grow as the firm expands; occasional remote days may be considered after onboarding.

About the Role

You’ll work directly alongside the firm’s Founder and team, becoming an important part of the operational heartbeat of the office.

This role combines client service, wealth management operations, advisor support, and workflow coordination.

You’ll take ownership of many of the responsibilities that keep a boutique wealth planning firm running smoothly—from interacting with clients and coordinating meetings to processing account paperwork, maintaining client records, and helping quarterback the firm’s systems, workflows, and client commitments.

We’re looking for someone who already understands the fundamentals of wealth management and financial services operations. You don’t need to have experience with every process or type of transaction we handle. We’ll teach you our systems, procedures, and approach to serving clients. What we’re looking for is an existing industry foundation that allows you to build on that knowledge rather than learn wealth management from the beginning.

This is also a role with room to grow. As you demonstrate your capabilities and ArisGarde continues to expand, you’ll have the opportunity to take increasing ownership of client service, firm operations, process improvement, and other areas where your strengths can contribute to the firm’s continued growth.

This is primarily an in-office position in downtown Charleston. After an initial period of onboarding and integration with the team, there may be flexibility for a regular remote day as appropriate.

Key Responsibilities-
Client Experience
  • Welcome clients and visitors with professionalism and warmth.
  • Deliver a white-glove client experience through proactive communication and responsiveness.
  • Answer incoming calls and assist clients with service requests.
  • Coordinate client meetings, confirmations, and follow-up.
  • Prepare meeting materials and ensure advisors are fully prepared.
Client Service & Operations
  • Process new account openings, transfers, beneficiary updates, account maintenance, and other service requests for new and existing accounts.
  • Coordinate with custodians, insurance companies, and strategic partners.
  • Maintain accurate client records and documentation within our CRM.
  • Help maintain accountability for firm workflows by ensuring client commitments, meeting action items, and internal tasks are completed consistently and on time.
  • Coordinate insurance applications, underwriting requirements, policy delivery, and ongoing service.
  • Support advisors by helping keep projects moving forward and ensuring nothing falls through the cracks.
Office Operations
  • Help maintain an organized, welcoming, and professional office environment.
  • Coordinate mail, supplies, incoming documents, and general office administration.
  • Assist with client appreciation events and educational workshops.
  • Support continuous improvement of office procedures and operational efficiency.

Qualifications:
Required
  • Prior experience working in wealth management, financial planning, brokerage, trust administration, private banking, or a similar investment or financial services environment.
  • Working knowledge of wealth management operations, including client onboarding, account servicing, custodial processes, investment accounts, and related client service activities.
  • Exceptional organizational and time management skills.
  • Outstanding written and verbal communication skills.
  • High attention to detail with the ability to manage multiple priorities.
  • Proficiency with Microsoft Office and client relationship management (CRM) systems.
  • Ability to work full-time primarily from our Charleston, South Carolina office.
Preferred
  • Approximately 2+ years of relevant industry experience.
  • Experience with industry-specific CRM platforms and related technologies.
  • Experience working with custodians such as Schwab, Fidelity, Pershing, or LPL.
  • Experience supporting financial advisors in a client-facing environment.
  • Experience coordinating complex account transfers, trust registrations, or other wealth management transactions.
  • Experience with insurance operations or case management is helpful but not required.
