Business Solutions Manager at Ultimate Staffing

We're seeking a proactive, detail-oriented individual to manage end-to-end trade show and event logistics for assigned clients. This role acts as the main point of contact, providing exceptional service, coordinating vendors, and ensuring flawless execution of all event deliverables.

Key Responsibilities:

  • Serve as the primary contact for assigned clients, addressing all trade show and event service needs professionally and efficiently.
  • Oversee the entire event process, including order intake, production coordination, shipping logistics, and post-show activities.
  • Create and maintain detailed timelines, task lists, and deadlines using project management software to ensure milestones are met.
  • Prepare accurate cost estimates and service quotes, leveraging vendor relationships to secure competitive pricing.
  • Plan and manage comprehensive show schedules, coordinating with clients for decisions and approvals in a timely manner.
  • Organize and execute all vendor-related services, such as labor, electrical, flooring, and transportation, ensuring compliance with show requirements.
  • Review and verify critical documents like floor plans, insurance certificates, and service forms to prevent onsite issues.
  • Support internal teams to ensure clear communication and smooth execution from planning to dismantling.

Requirements:

  • At least 2 years of experience in event coordination, trade shows, or customer service roles; experience in retail or hospitality is a plus.
  • High school diploma required; an associate or bachelor’s degree is strongly preferred.
  • Strong organizational and communication skills, with the ability to manage multiple priorities under tight deadlines.
  • Proficiency in Microsoft 365 (Outlook, Excel, Word), Adobe Acrobat Pro, and database software (e.g., Claris FileMaker or similar).
  • Willingness to travel out of state for client events 1-2 times per year (travel costs covered).
  • Collaborative mindset, proactive attitude, and strong commitment to client satisfaction.

Additional Info:

  • Pay range: $55,000 - $65,000 (depending on experience)
  • Schedule: Monday-Friday, 8:00 am - 5:00 pm in office, with possible remote communication during nights & weekends; availability to check on event crews and respond to issues during setup weekends (rare).
  • Location: 100% onsite, Saint Paul
