Our client is a successful, growth-oriented wealth management practice seeking a proactive, highly organized Client Service Associate to help deliver an exceptional client experience while supporting the systems and processes that keep the practice running efficiently.
This individual will play an important role in day-to-day client service, meeting follow-up, account administration, paperwork, and recurring client activities. They will also have the opportunity to help document and improve workflows, strengthen internal processes, and ensure the team is providing consistent and proactive service.
Key Responsibilities:
Client Experience:
- Help create a smooth, organized, and personalized experience throughout the client relationship
- Support client onboarding and ongoing service processes
- Maintain awareness of important client dates, service needs, milestones, and recurring planning activities
- Maintain the client service calendar, including client reviews, recurring planning activities, outreach efforts, service campaigns, and annual deadlines
- Assist with client appreciation efforts, communications, educational events, and other relationship-building activities
- Proactively keep clients informed regarding outstanding requests, paperwork, next steps, and expected timelines
- Take ownership of routine client service issues from beginning through resolution
- Identify urgent, sensitive, or Advisor-level matters and escalated appropriately
- Look for practical ways to make client communication and service more efficient and convenient
- Help ensure every client interaction reflects the practice's service standards
Meeting Follow-Up:
- Document client meeting notes, decisions, and follow-up items as directed
- Assign, track, and complete post-meeting tasks
- Follow up with clients regarding documents, signatures, information requests, and next steps
- Coordinate recurring client reviews and planning activities
- Maintain visibility into outstanding client commitments and help ensure appropriate follow-through
Client Service & Account Administration:
- Complete routine client service requests, account maintenance items, and administrative tasks
- Assist with paperwork related to account openings, transfers, distributions, contributions, beneficiary changes, and other client requests
- Ensure paperwork and documentation are complete, accurate, and submitted in a timely manner
- Track outstanding paperwork and service requests through completion
- Coordinate with custodians, investment providers, insurance companies, and other outside partners as needed
- Develop a strong understanding of how forms should be completed, reviewed, signed, submitted, tracked, and retained
- Help identify recurring paperwork issues and opportunities to reduce errors
- Maintain current forms, instructions, and supporting documentation
- Utilize DocuSign for electronic signatures, document routing, and tracking
Workflow & Process Improvement:
- Help document and maintain standard operating procedures
- Assist in creating clear, repeatable workflows for client service, financial planning, paperwork, account administration, and recurring business activities
- Review existing processes and identify opportunities to improve efficiency, consistency, and follow-through
- Develop and maintain checklists, templates, instructions, and other internal resources
- Help create processes that reduce errors and make client service more proactive rather than reactive
- Document recurring tasks and procedures so important processes are clear and accessible to the broader team
Systems & Technology:
- Develop strong proficiency in Redtail CRM and become a knowledgeable internal resource for the team
- Maintain Redtail contact records, activities, workflows, templates, and other client information
- Help ensure the CRM is used consistently and information remains accurate and organized
- Assist with creating and improving Redtail workflows and activity templates
- Coordinate with technology vendors and support resources when issues arise
- Identify opportunities to use technology and automation to improve efficiency and the client experience
Qualifications:
- 2+ years of experience in client service, financial services, wealth management, banking or insurance
- Must have experience with Redtail CRM
- Strong organizational skills and exceptional attention to detail
- Ability to manage multiple priorities, recurring deadlines, and client requests
- Excellent written and verbal communication skills
- Strong follow-through and willingness to take ownership of responsibilities
- Experience with DocuSign or electronic paperwork processes preferred
- Ability to handle confidential client and financial information with discretion
