Job description

Element Wealth Planning is a boutique financial planning and wealth management firm located in Georgetown, Delaware. We work closely with individuals, families, retirees, and business owners to help them organize their financial lives and make informed decisions about their future.

We pride ourselves on providing a high level of personal service and creating an experience where clients feel welcomed, valued, and confident that their needs are being handled with care.

We are seeking a Client Service Associate to join our team. This position is ideal for someone who is professional, highly organized, friendly, detail-oriented, ambitious, and takes pride being intentional and accurate in their tasks.

The Role

The Client Service Associate plays an important role in both the day-to-day operation of our office and the experience we provide to our clients.

We are looking for someone who does more than simply complete assigned tasks. The right person will learn how our office operates, recognize what needs to be accomplished, and takes initiative without needing direction.

You will interact regularly with clients, financial advisors, investment companies, insurance companies, and other financial institutions. Professionalism, accuracy, discretion, and strong communication skills are essential.

Responsibilities
  • Provide friendly, professional service to clients by telephone, email, and in person
  • Answer incoming telephone calls and assist clients or route requests appropriately
  • Schedule and coordinate client appointments
  • Prepare for client meetings and assist with meeting follow-up
  • Process client service requests and follow them through to completion
  • Assist with new account paperwork, account updates, transfers, distributions, and other administrative requests
  • Communicate with custodians, insurance companies, and other financial institutions regarding client accounts and service requests
  • Maintain accurate client information within our CRM and other technology platforms
  • Upload, organize, and maintain client documents and electronic records
  • Track outstanding paperwork and proactively follow up when additional information or action is needed
  • Identify incomplete or potentially inaccurate information before paperwork is submitted
  • Assist with general office organization and administrative responsibilities
  • Handle confidential client and financial information with appropriate care and discretion
  • Learn and effectively use the firm's financial services software and technology
  • Identify tasks that need attention and take ownership of getting them completed
  • Support advisors and other team members as needed to help maintain an efficient, client-focused office

The successful candidate will demonstrate:

  • Professionalism – You understand that your communication and actions represent the firm.
  • Organization – You can manage multiple responsibilities, deadlines, and follow-up items without allowing things to fall through the cracks.
  • Initiative – You recognize what needs to be done and take action rather than waiting to be told what to do next.
  • Critical thinking – You can evaluate a situation, identify potential problems, and determine an appropriate next step.
  • Attention to detail – You understand the importance of accuracy when working with client information, financial documents, dates, forms, and instructions.
  • Strong telephone and communication skills – You are comfortable speaking professionally with clients and financial institutions.
  • Friendliness – You enjoy helping people and contribute to a welcoming, positive environment.
  • Computer proficiency – You are comfortable learning and working with multiple software applications and web-based systems.
  • Ambition – You are interested in learning, improving your skills, taking on additional responsibility, and growing professionally.
  • Accountability – You take ownership of your responsibilities and follow tasks through to completion.
Education & Experience
Required:
  • High school diploma or equivalent
  • Strong written and verbal communication skills
  • General computer proficiency
  • Ability to successfully complete required background checks and fingerprinting
Preferred:
  • At least two years of relevant financial services experience, including wealth management, investments, banking, or insurance
  • Previous experience in a professional office or client-service environment
  • Familiarity with financial accounts, investment terminology, CRM systems, or financial services paperwork
  • Prior financial services experience is preferred but not necessarily required for an exceptional candidate who demonstrates strong organizational skills, initiative, professionalism, attention to detail, and the ability to learn quickly.

Starting Salary: $35,000–$52,000 per year, based on experience, education, qualifications, and relevant financial services knowledge.

Element Wealth Planning offers a competitive benefits package that includes:
  • Paid Time Off (PTO)
  • Paid Sick Time
  • Paid Holidays
  • Employer-Matching 401(k)
  • Health Reimbursement Arrangement (HRA)
  • Paid Training and Licensing

We believe in developing talented employees. For an individual interested in building a career in financial services, Element Wealth Planning is willing to invest in training and professional licensing that can help expand your knowledge, responsibilities, and future opportunities within the firm.

The Person Who Will Thrive in This Position

You may be a great fit if you are the type of person who:

  • Notices something needs to be done and handles it
  • Is organized and enjoys creating and following up on processes and workflows
  • Keeps track of responsibilities and enjoys checking things off a task list
  • Double-checks your work before considering it finished
  • Doesn't like leaving unanswered emails, unresolved requests, or unfinished tasks
  • Is comfortable asking questions but also attempts to find solutions independently
  • Can switch between helping a client, completing paperwork, answering a phone call, and following up on an outstanding request without losing track of the details
  • Enjoys learning new systems and becoming more knowledgeable over time
  • Wants to take on greater responsibility as your skills and experience grow
  • Wants to be an important part of a small professional team rather than simply filling a position
  • Desires a career with the opportunity for growth and advancement

This position can be more than a traditional customer service role.

We are looking for someone who wants to learn and grow with our firm. As you develop your knowledge of the financial services industry and demonstrate your capabilities, there may be opportunities to take on additional responsibilities and pursue relevant industry licenses and professional development.

Element Wealth Planning will provide paid training and licensing for appropriate professional development opportunities.

Why Join Element Wealth Planning?

As a boutique wealth management firm, every member of our team has an important role in the experience we provide our clients. You won't be one of hundreds of employees. Your work will have a direct impact on our clients, your coworkers, and the success of the firm.

We value people who take ownership of their work, look for ways to improve, and want to continue developing professionally. For the right individual, this position provides an opportunity to learn the financial services industry, develop valuable skills, take on increasing responsibility, and grow alongside our firm.
