This position involves greeting clients, managing calls, scheduling, front-office oversight, events, and day-to-day operations, working with advisors to elevate service.

Qualifications

Responsibilities

  • Own the first impression for every client, prospect, and visitor by creating a warm, welcoming, and professional experience.
  • Build and maintain strong client relationships through intentional communication, personalized service, and proactive follow-up.
  • Answer and direct incoming calls, resolve routine inquiries, and advocate for client needs.
  • Manage the reception and front office environment to ensure it is organized, polished, and reflective of the firm’s service standards.
  • Schedule and coordinate appointments, maintain calendars, and prepare conference rooms with all necessary materials and refreshments.
  • Manage incoming mail, packages, and documents, ensuring timely and accurate scanning & distributions.
  • Support client events, recognition initiatives, and meaningful milestones such as birthdays, anniversaries, and life events.
  • Assist clients with routine paperwork and administrative requests while supporting day-to-day office operations, supplies, and projects.
  • Partner with advisors and the Client Service Team to anticipate client needs, identify opportunities for improvement, and continuously elevate the overall client experience.

Job Description:

The primary goal of this role is to provide potential & current clients with an exemplary experience through exceptional service. Our Client Relationship Coordinator will play a crucial role in making certain the firm is exceeding its commitments to its clients from the first impression through the entirety of the professional relationship. This position also plays a significant part in guiding the organization’s future growth and continual development.

This is a part time position with an expectation to work 20- 25 hours weekly.

Typical responsibilities include:

  • Proficient with MS Office Suite (Outlook, Excel, Word & PowerPoint)
  • Experience with Redtail/CRM preferred
