Job summary

Houston Humane Society is seeking a friendly receptionist to support the Veterinary Care team. You will manage front-desk duties, schedule appointments, and assist with patient records and payments.

Responsibilities include greeting clients, handling check-in/check-out, processing payments, and assisting with merchandise sales while maintaining a courteous, organized reception area.

Qualifications

  • High School education or GED required.
  • One year of on-the-job training in a veterinary clinic environment considered.
  • Fluently speak, read, and write English with basic computer entry skills.
  • Strong organizational skills are essential.
  • Knowledge of hospital procedures and veterinary terminology helpful.
  • Excellent client-facing communication and diplomacy required.

Responsibilities

  • Schedule appointments in Shepherd Vet, obtaining all necessary data concerning the patient and owner.
  • Prepare needed forms in advance of client’s arrival and obtain all required information.
  • Check clients in and out and greet clients professionally and hospitably.
  • Discharge patients, review paperwork for completeness, enter charges and set up reminders.
  • Collect client fees, process payments, and manage cash drawer counts.
  • Perform over-the-counter selling of merchandise veterinary items and explain product usage.
  • Perform other duties as assigned.

Job description

Position Overview:

The purpose of this position is to serve as receptionist at Houston Humane Society, to perform office duties related to patient care and treatment, and to provide miscellaneous support to the Veterinary Care Manager and veterinary team. These service functions include, but are not limited to, maintenance of veterinary medical records, accounts, cash processing and data entry. This position requires a practical knowledge of veterinary organization and services, the basic rules and regulations governing visitors and animal patient treatment, a practical knowledge of the standard procedures and veterinary records.

Principal Duties and Responsibilities
  • Provide friendly, quality customer care to the patients and clients of Houston Humane Society.
  • Schedule appointments in Shepherd Vet, obtaining all necessary data concerning the patient and owner.
  • Prepare needed forms in advance of client’s arrival. Complete required forms such as new client form, patient form, consent forms, estimates, payment agreements, etc. and obtain all necessary information.
  • Check clients in and out – greet all clients in a professional, friendly, hospitable manner.

  • Discharge patients. Review paperwork for completeness of information, make new appointments or note changes in patient status as necessary. Enter charges and set up future reminders in system. Present clients with medications, instructions.
  • Collect clients’ fees, make change, process credit card transactions and assist in making count of cash drawer, run end of day transactions.
  • Perform over-the-counter selling of merchandise veterinary items. Exercise technical knowledge of products sold and demonstrate salesmanship abilities. Explain and demonstrate products, answer questions concerning products purchase/use.
  • Perform other duties as assigned.
Qualifications & Skills
  • Must have a High School Education or GED. A minimum of one year on the job training in a veterinary clinic environment and performing veterinary technician responsibilities can be considered.
  • Fluently speak, read, and write English with some basic computer entry skills required.
  • Interact with fellow employees and clients in a professional, courteous and respectful manner.
  • Possession of strong organizational skills.
  • Knowledge of hospital procedures and operating instructions for making appointments, assembling patient medical records, relaying information regarding patient’s condition, and compiling and submitting data on patients treated.
  • Knowledge of the spelling and meaning of commonly used terminology of veterinary medicine to accurately record results of tests etc.
  • Requires strong client service skills. Must be friendly. Personal contacts are with pet owners affected by a variety of problems, visitors and other healthcare team members. Considerable tact and diplomacy is required.
