Our client, an established wealth management firm, is hiring a polished, service-minded Client Relations Associate for its Client Relations team. You'll be one of the first people clients, prospects, and callers talk to, so you'll have a direct hand in the client experience the firm is known for. The job centers on inbound phone coverage, with support at the front desk and reception. The right person is warm, articulate, and composed. They like working with people and know how much a first impression counts, whether it's on the phone or in person. This is a permanent, fully in-office role. Hybrid or remote work isn't available now and won't be later. The job depends on steady phone coverage, in-person client contact, and front-office support, so reliable on-site attendance during scheduled hours is an essential function.
Responsibilities
- Inbound call management: Be a primary point of contact for incoming calls. Answer promptly and professionally, find out what the caller needs, route calls correctly, and take complete, accurate messages.
- First impressions: Represent the firm with poise, warmth, and confidence in every interaction.
- Client service: Give every caller attentive, efficient service. Answer general questions and send specific requests to the right team member so they're resolved on time.
- Call flow: Handle high call volume without losing professionalism or accuracy. Prioritize urgent matters.
- Call records: Log caller details, messages, and outcomes accurately, and enter relevant information in the firm's CRM.
- Voicemail: Check voicemail regularly and route messages quickly to the right person or department.
- Reception coverage: Cover the front desk as needed. Greet clients, prospects, guests, and staff, and direct them where they need to go.
- General inquiries: Learn the firm's services and structure well enough to answer basic questions and route detailed ones.
- Scheduling support: Back up appointment coordination, calendar updates, and communication about schedule changes.
- Administrative support: Help teams with data entry, document management, filing, scanning, and other office tasks.
Qualifications
- Experience in client relations, customer service, hospitality, concierge, reception, or another client-facing role
- 5+ years in a fast-paced professional office preferred
- Excellent phone presence and communication skills, both verbal and written
- A warm, confident, professional demeanor, and a polished appearance suited to a client-facing financial services office
- A client-first, service-oriented mindset
- Stays calm and courteous under high call volume and competing priorities
- Strong organization and attention to detail
- Adapts quickly to shifting priorities without letting quality slip
- Proficient in Microsoft Office and picks up new software quickly
- Comfortable with phone systems, calendars, CRM platforms, scanning, and general office technology
- Dependable and punctual, with the ability to keep assigned on-site hours consistently

Schedule
- Training period (about the first 90 days): Monday–Friday, 9:00 a.m.–5:00 p.m.
- After training: Extended afternoon/evening hours Mon–Thu; Friday, 9:00 a.m.–5:00 p.m.
All hours are worked on-site.
Location
The office is in Chicago's western suburbs. Candidates must be able to commute reliably or relocate before their start date. Remote work isn't available.
