Job summary

Welliant is seeking an Intake Specialist in Williamsburg, Brooklyn for a full-time role. You will manage the full intake process for new and returning clients across our mental health services, ensuring eligibility, documentation, authorizations, and staffing needs are handled accurately and efficiently.

You will conduct comprehensive consultations with each family, guide onboarding, and maintain clear communication while documenting every step to stay compliant with HIPAA and Welliant standards.

Qualifications

• Experience in intake, administrative coordination, case management or related work required.
• Background in human services, education, ABA, or healthcare preferred.

Responsibilities

• Respond to inquiries and conduct full intake consultations with families, guiding them through eligibility, services and next steps.
• Collect, review, and organize documentation for authorizations and setup.
• Submit and track initial authorizations with agencies, schools and parents as needed.
• Coordinate with HR to ensure appropriate staff availability for case assignments.
• Maintain accurate case status updates in internal systems and communicate timelines clearly.
