Dykema Gossett PLLC, a leading national law firm, is seeking to hire an experienced Client Financial Intake Specialist who will be responsible for the soundness of client data necessary for timely and efficient Billing, E-Billing and Collections. Leverage knowledge of legal financial systems to obtain, organize and maintain updated data. Work closely with the Billing and Accounts Receivable Manager, collaborate with Billing, E-Billing, Accounts Receivable, and Pricing colleagues, other members of the Finance Department and attorneys to identify areas of improvement, provide recommendations, and promote/implement change to improve system efficiency. Position is open to all our office locations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure client address, contact and bill distribution updates in Aderant Entity Manager are accurate and up-to-date, making changes as requested and proactively identifying methods to obtain information needed.
  • Ensure billing attorney information by client and/or matter is accurate and up-to-date.
  • Review new client engagement letters for information on billing guidelines, special rates and alternative fee arrangements; ensure systems are set up properly for a smooth flow of end-to-end information.
  • Review new client engagement letters for retainer information, and work with Accounts Receivable Specialists on receipt of retainer in a timely fashion.
  • Review current and new client guidelines; ensure financial systems are updated in accordance with current and new client guidelines to facilitate proper time entry, billing, e-billing and collections. Communicate with billing attorney regarding same and with Office of General Counsel for approval of guidelines.
  • Work with Management on Aderant Projects to assist with new timekeeper setup, enforcement of client billing restrictions and requirements, and client budgets.
  • Responsible for research and resolution on ad-hoc projects and assignments as they arise.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Bachelor’s degree or comparable level of legal Billing experience preferred.
  • Strong understanding of all end-to-end aspects of client revenue accounting.
  • Experience with Aderant Entity Manager and Prebill Manager required; experience with other software such as Docudraft, BillBlast, Intapp Time, and other revenue-cycle software a plus.
  • Must be proficient in Microsoft Office Suite, particularly Word, Excel and Outlook.
  • Excellent attention to detail.
  • Excellent written, verbal and interpersonal communication skills required.
  • Pro-active, inquisitive and analytical problem solver.
  • Ability to collaborate and cross-team with all finance team members and promote a positive work environment that embraces the abilities of all members.
  • Effective client management skills with a record of providing excellent customer service.
  • Requires flexibility and ability to manage time, organize and prioritize workload effectively.
