Job summary

Chesapeake Financial Planners is seeking a friendly, highly organized Client Experience & Operations Associate to support partners and serve as the first contact for clients. This role blends administrative expertise with relationship-building to keep operations smooth and reflect our commitment to clarity and care.

Qualifications

  • 3–5 years of professional experience in administrative, client service, or operations support roles.
  • Experience in financial services is preferred; familiarity with CRMs and digital tools is highly valued.
  • Strong written and verbal communication skills; ability to write clear, personable messages and connect with people.
  • Naturally organized, detail-oriented, and proactive—you anticipate needs before they’re asked.
  • Comfortable juggling multiple priorities in a remote environment while maintaining warmth and professionalism.
  • Outgoing, friendly, and solution-oriented—you make others feel at ease while keeping things moving forward.

Responsibilities

  • Serve as the firm’s first point of contact for clients and act as a chief experience officer to ensure clients feel seen and valued.
  • Manage calendars, coordinate meetings, and prepare agendas and follow-ups for client and internal meetings.
  • Handle incoming calls and emails with professionalism, warmth, and efficiency.
  • Maintain and update the CRM (Salesforce) with accuracy and attention to detail.
  • Assist with financial planning software/tools such as RightCapital, PreciseFP, and Jump AI for data gathering, meeting prep, and documentation.
  • Collaborate with our AdviserCMO marketing suite to support event coordination, digital communication, and occasional content execution.
  • Coordinate with custodians and client portals for onboarding, account setup, and document processing.
  • Help document internal processes and contribute to greater efficiency across the firm.
  • Provide administrative support to partners in daily operations.

About the Role

We’re looking for a friendly, highly organized Client Experience & Operations Associate to support both firm partners and serve as the first point of contact for our clients.
