The Client Concierge / Marketing Assistant serves as the first point of contact for clients and visitors and is responsible for overseeing the day-to-day operations of the front office. This individual manages advisor calendars, coordinates client meetings, ensures exceptional in-office (and virtual) client experience, and provides administrative support to both the advisory and marketing teams. The ideal candidate is organized, proactive, service-oriented, and thrives in a fast-paced professional environment. Your positive attitude, multitasking skills, and attention to detail will be essential in creating a seamless experience across the firm.
Front Office & Client Experience Responsibilities
- Serve as the primary point of contact for clients, prospects, visitors, vendors, and incoming communications.
- Manage multiple advisors' calendars and coordinate all client meetings, reviews, and appointments.
- Schedule meetings and maintain efficient calendar management across the advisory team.
- Coordinate conference room scheduling and ensure meeting spaces are fully prepared for client appointments.
- Prepare meeting materials, client packets, refreshments, and other meeting-related needs as required.
- Greet and welcome clients, ensuring a professional and positive client experience.
- Answer incoming calls and emails and route requests to the appropriate team member.
- Monitor and maintain a clean, professional, and organized office environment.
- Follow office opening and closing procedures while maintaining a high level of security and professionalism.
- Collect, process, and distribute incoming and outgoing mail and deliveries.
- Coordinate office supply inventories and maintain relationships with office vendors.
Administrative Support Responsibilities
- Maintain accurate client information within CRM and internal systems.
- Assist advisors with scheduling, administrative tasks, and special projects.
- Support client onboarding and assist with gathering and organizing required documentation.
- Track client milestones, appreciation opportunities, and gifting initiatives.
- Assist with workflow coordination and follow-up items to support advisor efficiency.
- Work collaboratively with front office, client service, and advisory team members to ensure seamless operations.
Marketing Support Responsibilities
- Provide administrative support to the marketing department and assist with ongoing initiatives.
- Assist with management of company social media accounts, including LinkedIn and Facebook.
- Support automated marketing initiatives through Marketing on Demand (MOD).
- Coordinate logistics, planning, and execution of client appreciation events, workshops, seminars, and other firm events.
- Create, organize, and update marketing materials, client communications, and prospecting resources.
- Assist with client gifting campaigns and relationship-building initiatives.
- Support marketing projects and campaigns assigned.
Skills & Qualifications
- Highly organized with exceptional attention to detail.
- Strong interpersonal and communication skills with a client-first mindset; ability to communicate professionally and positively with clients
- Professional, positive, and dependable.
- Ability to manage multiple priorities and deadlines simultaneously; strong time-management skill
- Experience with multi-line phone systems and phone etiquette to handle calls professionally
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to quickly learn and navigate multiple technology platforms and applications.
- Experience with Canva, Photoshop, or similar graphic design tools preferred.
- Event planning or project coordination experience preferred.
- Ability to work independently while collaborating effectively within a team environment.
- Ability to lift and move office or event supplies up to 40 pounds.
- Must successfully pass a background check; ability to understand and follow FINRA and company compliance guidelines.
