Job description

Description

The Client Asset Coordinator owns the end-to-end deployment of client-owned assets: planning what moves, preparing it correctly, putting it on site, and bringing it home complete. Where the Client Asset Operations Manager designs the asset management system — tracking architecture, storage strategy, and cost models — the Client Asset Coordinator plans and executes against that system across the full event cycle.

The Coordinator authors the annual asset plan that drives teardown sequencing and event-level manifests, directs pull, pack, and staging in the warehouse, and is present on site for major modular deployments to train crews and enforce standard work. The role exists to create a single point of awareness and accountability from plan through recovery, and to convert that visibility into measurable reductions in labor hours, asset loss, damage, and freight cost.

Success in this role is measured by plan accuracy and field outcomes, not by system documentation.

Annual Asset Planning and Sequencing
  • Author the annual client asset plan against the event calendar, identifying what assets each event requires, when they must be pulled, staged, and shipped, and where they go next. The Client Asset Operations Manager sets the planning framework and approves the plan.
  • Drive teardown sequencing from the annual plan so that assets come off each site in the order the next event needs them, rather than in the order they were installed.
  • Generate the asset manifest for each event from the annual plan, and revise it as scope changes.
  • Model asset conflicts across overlapping and back-to-back events, and flag shortfalls early enough to build, buy, rent, or re-sequence rather than react.
  • Maintain the pull, pack, and staging calendar, and hold it against the master deployment schedule.
  • Reconcile plan to actual after every event, and carry the correction into the next planning cycle.
Pull, Pack, and Staging Execution
  • Direct the pull and pack sequence in the warehouse so that assets are loaded in install order and support single-piece flow at the site.
  • Verify staged assets against manifests before release. Reject incomplete or mis-tagged shipments rather than sending known shortages to site.
  • Develop and improve load plans and crate utilization to reduce truck count and handling.
  • Coordinate day-to-day shipment detail with warehousing and logistics, including generating and verifying manifests and bills of lading.
  • Sequence with manufacturing so that new build and refurbished assets land in the staging window, not after it.
Field Deployment Execution
  • Present on site for major modular deployments, first-of-kind installs, and events carrying elevated asset risk. Individual deployments may require two or more consecutive weeks on site.
  • Direct field crew, leads, and supervisors on asset handling, staging, load sequence, and pack-out. Holds authority to stop and correct non-compliant handling or packing on site.
  • Train field teams at the job site on asset standard work — handling, tagging, install sequence, packing, and return process — and verify retention through observed performance, not sign-off.
  • Own retrieval and reconciliation at teardown. Every asset is counted, condition-recorded, and loaded in the planned return sequence before the crew releases the site.
  • Escalate to the Director of Field Operations and the Client Asset Operations Manager the same day when an asset issue will affect schedule or cost.
Productivity and Cost Reduction
  • Measure the labor hours consumed by asset handling at pull, pack, install, and teardown, and identify the sequencing and handling changes that remove those hours.
  • Identify and recommend product, crating, and packing modifications that shorten install and teardown, extend asset life, and simplify inventory counts. Route through Manufacturing and Engineering for design and execution.
  • Reduce freight and handling cost per deployment through improved load plans, crate utilization, and return consolidation.
  • Drive down asset loss, shrink, and damage or refurbishment spend through accountability at both the warehouse and the site.
  • Submit a post-event asset debrief within five business days of teardown: what was lost or damaged, why, hours consumed, cost impact, and the corrective action.
Asset Accuracy and Readiness
  • Maintain accurate asset records — location, condition, availability — in real time, not retroactively.
  • Apply tagging and labeling standards established by the Client Asset Operations Manager, and report tagging methods that do not survive field conditions.
  • Perform routine inspections; coordinate cleaning, minor repair, and refurbishment with Project Management and Manufacturing; elevate larger issues.
  • Support physical inventory audits and cycle counts.
Cross-Functional Coordination
  • Work with warehousing, logistics, manufacturing, project management, and the field resource manager to hold pulls, staging, and shipments against the plan.
  • Resolve scheduling conflicts, shortages, and delays. Bring options and a recommendation, not only the problem.
  • Feed field reality back to the Client Asset Operations Manager so that the asset system and the planning framework reflect how deployment actually works.
Measures of Success

Performance in this role is evaluated against the following measures. Baselines are to be established from the trailing twelve months of deployment data; reduction targets to be set once baselines are confirmed.

  • Annual asset plan: Published and approved ahead of the season start date.
  • Manifest issuance: Event manifest issued and confirmed ahead of the scheduled pull window, 100% of events.
  • Plan-to-actual variance: Assets deployed against assets planned, tracked and closed by event.
  • Asset readiness: 100% of kits complete and available at the scheduled staging date.
  • Manifest accuracy: 99% or better, measured by shortages reported at install.
  • Schedule impact: Zero delays attributable to asset availability or condition.
  • Asset loss and shrink: Reduction against baseline (target TBD).
  • Damage and refurbishment spend per deployment: Reduction against baseline (target TBD).
  • Asset-related labor hours, pull through teardown: Reduction against baseline (target TBD).
  • Freight and handling cost per deployment: Reduction against baseline (target TBD).
  • Post-event reconciliation: 100% closed within five business days of teardown.
Additional Responsibilities
  • Communicate progress, issues, and delays in a timely manner.
  • Promote an environment conducive to teamwork, development, and collaboration.
  • Support the Client Asset Operations Manager in piloting new storage, crating, and tracking processes in both the warehouse and the field.
Requirements
Knowledge and Skills
  • Ability to build and hold a multi-event deployment plan, and to see conflicts before they become shortages.
  • Credibility with field crews. Able to earn compliance from supervisors and leads through presence, competence, and consistency rather than title alone.
  • Bias to action and high sense of urgency; comfortable making the call and owning the outcome.
  • Genuinely hands-on. Willing and able to handle, stage, and load product personally.
  • Ability to read install drawings, venue layouts, and load plans.
  • Strong attention to detail and accuracy in physical counts and data entry.
  • Root-cause problem solving, with the ability to quantify impact in hours and dollars.
  • Working knowledge of inventory or warehouse management software; strong Excel skills for planning and reconciliation.
  • Clear verbal and written communication under time pressure.
  • Ability to work collaboratively across logistics, warehousing, manufacturing, and field operations.
General
  • The employee is expected to adhere to all company policies.
  • Must maintain a validly issued and current driver’s license.
  • Must be able to obtain forklift and other equipment certifications as required.
Education and Work Experience
  • Three or more years in field installation, event operations, warehousing, logistics, or construction, including direct time working with or leading crews on site required.
  • Demonstrated experience planning or scheduling material and equipment across multiple concurrent projects required.
  • Prior crew lead, foreman, or install supervisor experience strongly preferred.
  • Degree in Logistics, Supply Chain, or Operations is helpful but not required. Demonstrated planning and field execution is the qualifying credential.
Reports to this Position

None. The position carries functional authority over warehouse pull and pack sequence and over field crew with respect to asset handling, staging, and pack-out, without direct supervisory reporting.

Physical Demands and Work Environment
  • Ability to work in manufacturing, warehouse, and active job site environments, including extended standing, walking, climbing, and operating equipment as needed.
  • Regular lifting of materials, components, and equipment.
  • Exposure to noise, heat, weather, and other conditions typical of outdoor event installation and warehouse facilities.
  • Office and warehouse-based planning work between deployments.
Expected Hours of Work / Travel
  • Estimated 25–35% travel, concentrated on major modular deployments, first-of-kind installs, and elevated-risk events. Individual events may require two or more consecutive weeks on site for team training, install, and teardown.
  • Balance of time is warehouse and office based for planning, pull, pack, and staging windows.
  • Extended days, weekends, and holidays during install and teardown windows.
