Position Purpose / Summary

Responsible for performing full clerical, administrative and general office duties involving transcription, typing, record and file maintenance, mail distribution and telephone reception. Work is supervised by the Director of Employee Operations. No supervision is exercised over other staff.

Essential Functions

  • Performs specialized clerical work requiring knowledge of departmental operations.
  • Independently gathers facts and prepares reports requiring research and personal inquiries.
  • Oversees telephone reception, mailing, and setting-up for Board meetings, including notification of petitioners.
  • Directs individuals to proper departments upon entrance to the building complex.
  • Prepares correspondence in relation to work of the office.
  • Explains departmental policies to the public, answers complaints and attempts to settle disputes.
  • Assists department head with administrative detail.
  • Operates standard office machines incidental to clerical assignments.
  • Performs related work as required.

Knowledge, Skills, and Abilities

  • Considerable knowledge of modern office practices, procedures and functions.
  • Considerable knowledge of business English, spelling and arithmetic.
  • Working knowledge of departmental rules, regulations, procedures and functions.
  • Some knowledge of the principles of office management and supervision and ability to apply this knowledge of work problems.
  • Ability to keep complex records and to prepare periodic reports from such records.
  • Ability to apply and interpret departmental policies and procedures.
  • Ability to prepare clear and concise oral and written reports.
  • Ability to establish and maintain effective working relationships with other employees and the public.

Education and Experience

  • High school diploma or equivalent, supplemented by courses in business administration or office management.
  • Three years of experience in the performance of difficult and varied clerical work.

NOTICE : The following benefits are contingent upon hours worked and bargaining vs. non-bargaining agreements.

Paid Vacation Bargaining unit positions are subject to contractual obligations.

Paid Holidays All City employees receive 11 paid holidays per year.

Paid Sick Time Full time employees are immediately eligible to begin accruing 1 1 / 4 days per month which can be taken after 6 months of service. Unused sick days can be rolled over to subsequent calendar years. Supplemental Long Term and Short disability coverage is available to employees at the employee cost.

Paid Personal Days Use up to 3 of your accrued sick days as Personal days. Personal days cannot be rolled over into the next calendar year.
