Brief Job Description

Clerk II works under the direction of the Director of Inpatient Services with moderate supervision, limited latitude for the use of initiative and independent judgment. Performs routine (journey-level) clerical work related to the day-to-day operation of an inpatient unit or other support services. Work involves contact with patients, families, and hospital staff. Responsibilities include assisting patients’ electronic health record and medical record tasks, processing forms, providing information and maintaining detailed records and files. May occasionally provide patient escort or transportation when needed.

Essential Job Functions (EJFs)
  • Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift, and overtime per agency leave policy, and performs other duties as assigned.
  • Provides assistance to hospital staff, patients, and their families/visitors, providing information and direction
  • Sets up, maintains, duplicates, tracks, matches, thins records and files in accordance with established procedures.
  • Files and maintains supplies, forms, documents, and reports.
  • Completes and processes forms, letters, other records, and charts in accordance with established procedures.
  • Performs data entry and retrieval. May prepare charts, graphs, and tables.
  • Assist nursing staff with admission and other electronic health record processes.
  • Place work orders when necessary and follow up to ensure completion.
  • May maintain office schedules, appointments, and perform backup administrative duties.
  • Answers telephones, takes messages, and responds to inquiries for routine information. To include answers call bells.
  • May arrange the scheduling, transfer, and display of surplus property; and may assist in conducting a physical inventory.
  • Uses computer applications such as spreadsheets, Microsoft Word, email, and database software in performing work assignments.
  • May provide patient escort and transportation to events or medical appointments as needed on and off campus. Performs related work as assigned.
  • Other duties as assigned include, but are not limited to, actively participating and serving in a supporting role to meet the agency’s obligations for disaster response and recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and location.
Knowledge, Skills And Abilities (KSAs)
  • Knowledge of standard office and administrative procedures, including proper spelling, punctuation, grammar, basic arithmetic, business terminology, methods, and systems.
  • Skill in the use of computers, office software applications, electronic record systems, and standard office equipment.
  • Ability to prepare, organize, maintain, and retrieve records, files, forms, and reports accurately and confidentially.
  • Ability to communicate effectively and professionally with patients, families, visitors, healthcare providers, and other staff.
  • Ability to organize and prioritize multiple assignments while maintaining accuracy and meeting established deadlines.
  • Ability to follow established policies, procedures, and instructions and to exercise appropriate judgment within assigned responsibilities.
  • Ability to assist with the movement or transfer of supplies and equipment and, when assigned, provide safe patient escorts or transportation in accordance with established procedures.
Registrations, Licensure Requirements Or Certifications

Valid Texas driver’s license. REQUIRED

Initial Screening Criteria

Current Texas Nurse Aide certification in good standing. PREFERRED

Graduation From An Accredited High School Or Equivalent. REQUIRED

Experience performing general clerical or administrative support duties. REQUIRED

Experience performing clerical or administrative support duties in a hospital, healthcare, or clinical setting. PREFERRED

Additional Information

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks, including Nurse Aid, Medication Aide, and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.

All applicants must be at least 18 years of age to be considered for employment at a state-operated facility.

Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are considered to be at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine-preventable. As a result, state hospital policy requires employees to be vaccinated according to their level of contact with individuals. In the event you choose not to be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
