We are seeking a highly organized and detail-oriented Clerk II to provide administrative and clerical support primarily to the Human Resources Department and site leadership.
The selected candidate will be located in the site's reception area and may be required to perform receptionist duties; however, the primary focus of the position will be supporting HR and management with administrative activities, reports, documentation, communications, scheduling, and confidential information.
This position requires strong organizational skills, professionalism, discretion, bilingual communication skills, and advanced proficiency in Microsoft Excel.
Provide clerical and administrative support to the Human Resources Department, site leadership, and management.
Prepare, format, edit, maintain, and distribute reports, presentations, correspondence, records, and other documents, including confidential information.
Prepare assigned documents and reports accurately and within established deadlines.
Create, maintain, and update reports using Microsoft Excel, including report automation as required.
Maintain organized electronic and physical filing systems.
Screen incoming calls and correspondence and respond appropriately when possible.
Perform receptionist and front-desk duties as needed.
Maintain and coordinate site-wide communications, including digital communication systems, TVs, communication boards, and internal announcements.
Coordinate calendars, meetings, appointments, and management schedules.
Prepare agendas, notices, meeting minutes, monthly/quarterly presentations, and other meeting documentation.
Coordinate programs, events, conferences, and related logistics, including travel, lodging, venues, meals, room setup, agendas, and other arrangements.
Coordinate travel arrangements and associated expense reports for management when required.
Maintain office supply inventory and coordinate purchasing and receipt of supplies.
Manage internal purchase orders related to site expenses, including meals, events, office expenses, and other approved expenditures.
Communicate professionally with employees, management, visitors, vendors, and external contacts.
Maintain confidentiality and exercise discretion when handling sensitive employee and business information.
Support additional administrative and HR-related activities as required.
Other duties may be assigned based on business needs.
3–5 years of administrative, clerical, secretarial, or related experience.
Previous experience supporting a Human Resources Department is required.
Fully bilingual in English and Spanish, with strong written and verbal communication skills.
Proficiency in Microsoft Excel, including report creation and automation, is required.
An Excel skills assessment will be conducted during the interview process.
Proficiency in Microsoft Word, PowerPoint, Outlook, and general office equipment.
