Responsibilities

  • Gather classroom needs for all terms and assign classrooms via 25Live.
  • Review and approve non-academic scheduling requests in 25Live.
  • Serve as primary contact for faculty, staff, students, administrators, and campus partners on scheduling and space utilization.
  • Conduct regular classroom walkthroughs and space inspections 2–3 times per week to identify issues.
  • Mediate conflicts and coordinate solutions to ensure efficient use of space.
  • Monitor classroom conditions and address issues impacting functionality and occupancy.

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

The temporary Classroom Resources Coordinator is responsible for managing the usage of Columbia University Irving Medical Center classrooms for academic and non-academic activities, as well as maintaining and managing CUIMC student locker assignments. The Classroom Resources Coordinator is the first point of contact for all central classroom scheduling requests and acts as a liaison between academic schedulers, event planners, and University partners to ensure efficient space utilization.

Responsibilities

Primary responsibilities include, but are not limited to:

  • Gathering information from all CUIMC schools and programs regarding their academic classroom needs for all three academic terms, taking into consideration student count, time of day, and day/week; manipulating this information to assign the appropriate classrooms via 25Live, a scheduling application; reviewing and approving all non-academic scheduling requests via 25Live. Serving as a central point of contact for faculty, staff, students, administrators, and campus partners regarding classroom scheduling, space availability, utilization, and related operational needs.
    • Conduct regular classroom walkthroughs and physical space inspections 2-3 times per week to identify operational, maintenance, safety, and utilization issues.
    • Serve as the primary point of contact for classroom and space-related concerns, providing a high level of customer service and support to faculty, staff, students, and visitors.
    • Facilitate, coordinate, and resolve complex space utilization and scheduling issues by collaborating with stakeholders and balancing competing needs.
    • Mediate conflicts, troubleshoot operational challenges, and implement solutions to ensure efficient and effective use of classroom and shared spaces.
    • Monitor classroom conditions and proactively elevate or address issues impacting functionality, occupancy, or user experience. 45%
  • Managing the 25Live classroom scheduling application; working with CollegeNet (external vendor) as well as campus partners to make ongoing improvements to the application for maximum scheduling and customer service effectiveness; conducting 25Live trainings for new users. Coordinating cross-functional projects and initiatives involving academic departments, Facilities, Classroom Technology Support, Space Planning, and other campus partners. 20%
  • Coordinating with CUIMC schools/colleges/departments to maintain an inventory of all classrooms and meeting spaces available across the medical center; collaborating with key personnel to address and facilities- or audiovisual-related issues in classroom spaces. 15%
  • Managing CUIMC student locker inventory using Path9 student locker software; serving as primary contact for both student requests and vendor support. 15%
  • Managing special projects and additional duties as assigned. 5%
Minimum Qualifications
  • Requires a bachelor’s degree or equivalent in education and experience
  • Excellent communications, analytical, and problem-solving skills.
  • Strong proficiency with Microsoft Office and database management; experience with academic scheduling tools, such as 25Live, preferred.
  • Must be organized and capable of performing multiple tasks efficiently and with diplomacy in a highly pressured environment; must be able to consistently meet time-sensitive deadlines.
Preferred Qualifications
  • Experience working in academic scheduling or space planning in higher education, health care, or other complex environments is highly desirable.
  • Possess a sense of humor, can-do attitude, and a commitment to teamwork.
  • Highly proficient with Excel and/or Access spreadsheets (particularly to track outcomes and conduct analysis.
  • Demonstrated experience working with Power BI preferred.Managing multiple priorities and time-sensitive projects while providing effective customer service, resolving operational issues, and maintaining strong relationships with stakeholders.
  • Experience with project management, process improvement, data analysis, reporting, and system implementation in a higher education, healthcare, or similarly complex environment.
  • Working knowledge of other analytical tools and platforms a plus.
