Job summary

California State University, Long Beach (CSULB) invites applications for a clerical and administrative support role within the CLA College Office. Under direct supervision, you will assist the administrative staff with personnel, curriculum, fiscal and administrative tasks for the CLA office.

The position requires five years of administrative experience, strong budget-tracking skills, and proficiency with Excel and databases.

Job Summary

Under the direct supervision of the Personnel and Curriculum Supervisor (AA/S Exempt) assists the administrative staff of the College Office in the College of Liberal Arts by providing personnel, curriculum, fiscal and administrative support for the CLA administrative staff.

Key Responsibilities
  • Coordinate Retention, Tenure and Promotion Process, assigned time, Sabbatical leave process, Scholarly and Creative Activities ranking (RSCA), and Evaluations.
  • Process personnel transaction forms and part-time contracts and hiring packets.
  • Collect, maintain, and update Loans and Borrows, Full-time Lecture, Tenure-track Status, Range Elevation, and Commitments logs.
  • Provide assistance to the Scholarly and Creative Activities committee.
  • Tracks and monitors department budget and expenditures using Excel spreadsheets and Paradox database.
  • Assists the Coordinators and Supervisors with various college projects.

This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,367 (Step #1) - $6,362 (Step #20) per month.

Ability to carry out professionally complex assignments and independently plan and develop sound approaches and solutions to meet departments program, faculty, and student needs. Knowledge of budget and fiscal resources, allocations, and accountability. Provide professional representation for the department to all constituencies. Develop and deliver essential information through written and oral interactions. Establish and maintain collaborative working relationships with program faculty, academic departments, the dean’s office, and a variety of offices and individuals on and off campus. Working knowledge of Windows, Word, e‑mail, spreadsheet, databases, webpages, and CMS.

Create and implement appropriate program/events that foster student, faculty, campus, and local community relations. Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non‑discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

Equivalent to five years of administrative support experience required.

Physical Summary

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects (10 pounds or less).
