Chief of Staff/Project Manager

Our company provides full-service management to trade and professional associations, including non-profit financial management and event coordination. We are seeking a full-time Chief of Staff/Project Manager to support the internal operations of one of our trade associations, with potential support for a second association in the future.

Primary Responsibilities:

  1. Project Management:
  2. Oversee operations and staff assigned to the client association, supporting the Executive Director (ED).
  3. Manage project details using the project management system (Basecamp).
  4. Establish communication and reporting mechanisms with vertical leads for updates on goals, budgets, and issues.
  5. Identify tools to improve internal communication and reporting.
  6. Develop and maintain SOPs, association records, and policies.
  7. Supervise database usage and suggest process efficiencies.
  8. Coordinate staff meetings, set agendas, and communicate expectations.
  9. Monitor staff workflow and analyze staff hours monthly.
  10. Oversee project coordination with staff and produce monthly operations reports.
  • Collaboration with Affiliates:
  • Manage website and vendor communications.
  • Support membership recruitment and retention programs.
  • Track journal ad revenue and support accreditation tasks.
  • Liaise with vendors, legal counsel, and contractors.
  • Assist with financial reports and chapter relations.
  • Manage nominations/elections and support awards programs.
  • Meeting Support:
  • Attend monthly and annual Board meetings, including in-person events.
  • Manage conference staffing and develop event schedules.
