Job summary

ZentLaw is seeking a highly organized Chief of Staff to act as the CEO's right hand and the operational engine behind the business. This hands-on role runs operations, drives key initiatives, supports marketing and events, and protects the CEO's time so they can lead from the front.

Job description

We are a leading established alternative legal services provider (ALSP) with more than two decades of experience delivering legal talent and solutions to sophisticated legal teams. We are looking for a highly organized, trusted Chief of Staff to serve as the CEO's right hand and the operational engine behind the business.

This is a hands-on, day-to-day execution role. You will run operations, drive key initiatives, support marketing and events, and protect the CEO's time so they can lead out front while you make things happen behind the scenes. What You'll Do
Executive Operations
  • Own the CEO's calendar and know how to ruthlessly protect their time, prioritizing what matters and keeping everything else from crowding it out
  • Manage communications, follow-ups and day-to-day priorities with precision
  • Prepare briefings, agendas, research, proposals and materials for meetings, calls and presentations
  • Coordinate internally and externally with team members, clients, partners, advisors and vendors, with timely follow-through
  • Track commitments and action items across the organization and drive them to completion
  • Anticipate needs, flag issues early and solve problems before they escape
Operations & Project Management
  • Drive key initiatives and projects from kickoff through delivery, with clear timelines, milestones and accountability
  • Run the day-to-day operating rhythm of the business, keeping workstreams organized, on schedule and moving
  • Build and maintain the systems, workflows and documentation that keep the business running smoothly
  • Manage vendors, contractors and service providers, and keep CRM, trackers and shared records current
  • Support hiring, onboarding and team coordination as we grow
  • Support key initiatives and help to drive projects forward.
Marketing & Events
  • Carry out marketing activities, including managing content calendars, newsletters, website updates and social channels
  • Support and amplify the CEO's and company's LinkedIn presence through scheduling, engagement and coordination
  • Manage design assets and maintain brand consistency across touchpoints
  • Own event logistics end to end, including venues, vendors, speakers, sponsors, run of show and day-of execution
  • Support business development team indirectly in conjunction with events and internal goals
  • Handle post-event follow-up, recap content and attendee communications
What You Bring
  • 3-5 years of experience in a chief of staff, executive operations, project management or senior executive support roles, ideally supporting a founder or CEO
  • A genuine desire to be a Chief of Staff: you find real satisfaction in making an executive and an organization successful
  • A proven track record of hands-on execution - you can point to specific things you owned and delivered
  • Unquestionable integrity, loyalty and discretion: you have the CEO's back, handle confidential matters with care and earn trust quickly.
  • A natural polished gatekeeper who protects the CEO's time, priorities and reputation
  • Exceptional organization and attention to detail: nothing falls through the cracks on your watch
  • Clear, proactive communicator: you keep people informed, raise issues early and close loops
  • Practical problem solver with a strategic mindset: you figure out how to get things done and thrive in the details
  • Collaborative, low-ego team player who takes direction and feedback well
  • Self-starter who takes ownership, executes without micromanagement and quickly adopts new tools, including AI
  • Professional LinkedIn presence and comfort supporting the company's voice online but is not seeking to promote their own agenda.
  • Positive, resilient, humble roll-up-your-sleeves attitude and a sense of humor
  • Event coordination experience and a background in legal, professional services or legaltech a plus

This is an in depth execution role. It is not a visionary or strategy-setting position: the CEO sets direction and is the voice and face of the company, and the Chief of Staff helps to makes it happen behind the scenes. It is also not the right fit for someone who prefers a large structured organization, needs extensive direction or is focused on building their own public profile. You will be working in a fast-moving environment where no task is too big or too small. You will be humble, a true team player and bring a resilient can-do attitude to anything. The ability to adapt, produce and remain a positive committed contributor are essential. Accountability for execution and follow-through is what matters here.
