Designed as a high-growth leadership track, this role transitions into the President seat upon achieving performance milestones over a 12–18 month period.

Position Summary

The Chief of Staff serves as the operational engine of Kidology Inc., translating the Founder's vision into daily execution while holding every department head accountable to their goals. This person is a strong, clarifying leader who walks into a room and helps the team immediately feel direction become clearer. Standing at the center of the organization, the Chief of Staff manages team leadership, growth execution, operational excellence, culture, and scorecard metrics across Kidology's expanding footprint. Designed as a high-growth leadership track, this role transitions into the President seat upon achieving performance milestones over a 12–18 month period.

Schedule
  • Employment Type: Full-time, Exempt
  • Availability Expectations: Standard operational office hours; schedule determined by department needs across hybrid clinic locations (Northeast Philadelphia and Southampton, PA).
Team Leadership & Accountabilities
  • Hold weekly check-in 1:1 meetings with all department heads to drive goal alignment and accountability without micromanaging.
  • Direct and lead key team leaders, including the Marketing Director, HR Manager, Operations Manager, and Finance Director.
  • Serve as the operational bridge and filter between the Founder and the company—handling operational matters directly and escalating only critical needs.
  • Hold difficult conversations with grace and emotional intelligence while maintaining strong working relationships.
Operational Excellence & Growth Execution
  • Translate the CEO's vision into actionable weekly plans to keep regional expansion, hiring, and new initiatives on track.
  • Ensure every department is hitting defined goals on schedule and communicating effectively.
  • Manage operational cadence and execute on major strategic priorities, such as 90-day key initiatives.
  • Maintain clear operational boundaries: do not manage clinical decisions/treatment direction, finance/payroll strategies, franchise legal strategy, or final company vision.
Scorecard, Metrics & Organizational Culture
  • Own scorecards and KPI tracking across departments; review metrics weekly and bring data-driven insights to decisions.
  • Measure and drive success metrics including 100% weekly 1:1 delivery, decreasing month-over-month Founder escalations, maintaining 85%+ annual staff retention, and achieving top-box YOY culture scores.
  • Serve as the heartbeat between leadership and staff—ensuring employee concerns are heard and resolved efficiently.
Qualifications
  • Experience: 7+ years of leadership experience, including direct management of multi-person teams.
  • Systems & Execution: Proven track record of building and running accountability systems that teams consistently follow.
  • Communication: Exceptional written and verbal communication skills with the ability to speak with authority, listen to understand, and write clearly.
  • Interpersonal Skills: High emotional intelligence, strong judgment, and the ability to hold hard conversations while preserving relationships.
  • Industry Background: Experience in healthcare, pediatric therapy, education, or mission-driven organizations is a plus (not required).
  • Mission Alignment: Deep commitment to Kidology’s mission and pediatric health impact.

  • Reports To: Luba Patlakh, Founder & CEO
  • Direct Reports: Marketing Director, HR Manager, Operations Manager, and future department heads.
  • Matrix Relationships: Finance Director (dotted-line reporting; direct line stays with CEO).
Location: Northeast Philadelphia + Southampton, PA
  • Compensation: $90,000 – $120,000 base + performance bonus

    Physical Demands

    This position is an active executive leadership role within a multi-location pediatric health and therapy setting:

    • Positioning & Movement: Ability to sit for extended periods during executive meetings and strategic work, while also frequently standing and moving throughout regional offices, clinics, and facility spaces.
    • Mobility & Regional Access: Traverses through clinic environments, administrative offices, waiting areas, and expansion sites across location facilities (Northeast Philadelphia and Southampton, PA).
    • Motor & Computer Skills: Frequent use of fine motor skills to operate computers, manage scorecards/dashboards, draft plans, and utilize digital telecommunications systems.
    • Primary Setting: Professional, multi-location pediatric therapy clinics, administrative offices, and playspace environments.
    • Clinic Integration: Regular active presence across environments serving pediatric patients, family members, department heads, and clinical staff.
    • Noise & Environmental Conditions: Exposure to active pediatric therapy settings with variable noise levels, interactive environments, active play areas, and multi-department operational movement.
