SouthCoast Health in Savannah, GA seeks a Full-time Patient Representative for our Eyecare Department to greet patients, collect paperwork, update demographics, and coordinate with clinicians.

The role emphasizes accuracy, confidentiality, timely check-in, handling copays, and professional communication; prior healthcare or customer service experience is preferred.

SouthCoast Health is looking for a Full-time Patient Representative for our Eyecare Department

JOB SUMMARY:

This position is in general one of the first points of contact that patients, and patients family members, will have of SouthCoast Health and therefore is the first chance to make a strong, positive first impression. Greets patients and families, prepares and collects necessary documentation, verifies and updates patient information, monitors patient wait time, and communicates with physician clinical stations of patient’s arrival.

ESSENTIAL JOB RESPONSIBILITIES:
  • Greets patients and family members in a positive, professional and helpful manner. Provides directions, information and other assistance as needed. Handles patient concerns in helpful, objective manner, involving supervisor as appropriate.
  • Communicates with patients, family members, and/or caregiver’s in a culturally and linguistically appropriate manner.
  • Provides patient with either necessary paper forms or Phreesia tablet for patient to complete check in process and accurately updates necessary insurance or demographic information at the time of check in. Check In personnel will review for accuracy, and notify physician and/or staff that patient is ready.
  • Complies with all OSHA regulations.
  • Monitors patients wait time, to ensure timeliness of appointments and patient flow.
  • Monitors physician’s schedule in order to alert patient to estimated wait time. May reschedule patient if patient requests.
  • Maintains and monitors patient sign in sheets to established office procedures. Maintains patient confidentiality of pertinent medical information.
  • Assures patient care needs are met and where possible exceeded.
  • Follows clinic protocol in alerting appropriate personnel in emergency situations.
  • Collection of copays, at check in, varies according to office specific procedures. If your office has Check Out personnel, copays may not be collected by Check In personnel. Follow office specific policies and procedures.
  • Job holder is required to be at work on a regular and consistent basis.
  • Communicates with and assist physicians, patients and coworkers in a professional and courteous manner.
  • Performs or assists with non-clinical duties as assigned by the Supervisor.
  • The job holder must demonstrate current competencies applicable to job position.

Requirements
EDUCATION:

High school diploma or equivalent.

EXPERIENCE:

Minimum of one year experience in customer service setting, preferably six months receptionist experience in health care setting. Computer experience.

REQUIREMENTS:

None.

KNOWLEDGE:
  • Knowledge of reception tasks, clinic policies/procedures, paperwork.
  • Knowledge of customer service concepts and techniques including the importance of appropriate image.
  • Knowledge of emergency protocols.
  • Knowledge of computer system.
SKILLS:
  • Skill in use of computers for data verification and entry purposes.
  • Skill in customer service principles and practices.
ABILITIES:
  • Ability to exercise professionalism in dealing with all levels of personnel, patients, and patients’ families.
  • Ability to communicate clearly and concisely in person.
  • Ability to concentrate and pay close attention to detail when reviewing patient data in computer systems, entering appointments and so forth.
  • Ability to organize and prioritize tasks effectively.
  • Ability to read, understand and follow oral and written instructions.
ENVIRONMENT & CONDITIONS:

Primarily office setting. Occasional stress due to workload pressure. Some stress due to working with the public and patients with problems.

PHYSICAL /MENTAL DEMANDS:
  • Sitting for 7-8 hours per day.
  • Requires eye-hand coordination, hearing, talking and finger dexterity for data entry.
  • Must be able to view computer screens for long periods of time.

This position shall have access to information in a patient’s medical record only to the extent that such information is required to carry out job duties. Any information obtained will only be used by or disclosed to those who have a need to know to ensure the provision of quality patient care. Patient information is to be held strictly confidential.
