Job summary

CompleteCare is seeking a Reporting/Department Head Practice Manager in Glassboro, NJ to lead a patient-centered medical home team and ensure high-quality care.

You will manage provider schedules, coordinate patient flow, uphold HIPAA confidentiality, and drive performance improvement while mentoring staff and supporting clinicians.

Qualifications

  • High School diploma or equivalent required.
  • Graduate of an approved Medical Assistant program.
  • 1–2 years in healthcare setting preferred.
  • Experience with electronic medical records (EMR) preferred.
  • MA certification within 6 months of employment required.
  • CPR certification required.
  • Strong communication and problem-solving skills.
  • Excellent teamwork and interpersonal abilities.

Responsibilities

  • Provide services to patients in a safe environment of care.
  • Manage provider schedules to optimize patient access.
  • Greet patients and escort them to exam rooms.
  • Prepare patient records and collect history and vital signs.
  • Assist providers during examinations and procedures.
  • Ensure HIPAA confidentiality and proper handling of records.

MAJOR FUNCTION: To provide friendly, professional, and high-quality support to CompleteCare’s providers within a team-based, patient-centered medical home model of care.

ESSENTIAL RESPONSIBILITES:
  • Provide services to patients while ensuring a safe environment of care
  • Reduce risks of nosocomial infections in patients, employees, and visitors
  • Always embody friendly and courteous customer service with both patients and staff
  • Act as an active participant in the healthcare team – working together with all levels of staff to ensure the best care possible for patients
  • Work with team to meet specific healthcare performance improvement goals
  • Adhere to all applicable HIPAA guidelines as to ensure confidentiality of patient information
  • Problem-solve issues as they arise in a proactive and positive manner
  • Organize and prioritize tasks as assigned
  • Work with supervisor to plan departmental activities, evaluate data and make suggestions for improvement
  • Maintains clean and orderly workspace and efficiently utilizes supplies
OTHER JOB DUTIES:
  • Manages assigned provider’s schedule to ensure that we are optimizing access for our patients.
  • Communicates with provider about patients to be seen
  • Greets patients and escorts them to exam rooms
  • Identifies patients and confirms medical records
  • Schedule appointments as necessary
  • Registers patients and collects all information required
  • Prepares patients record for providerPrepares patients for exam by collecting relevant medical history, information about visits, vital signs, and instructs patients on preparation for exam procedures
  • Assists provider during examination
  • Selects and completes all required forms for each medical screening
  • Guides patients through their visit
  • Administers vaccines and completes referrals as needed
  • Communicates status of the patient with other members of the healthcare team
  • Assures medical charts are returned
  • Properly disposes of soiled equipment and laundry and prepares regulated medical waste
  • Transports and retrieves instruments safely and prepares for sterilization
  • Keeps clinical area clean, orderly, and stocked with supplies
  • Opens and closes clinical area according to assignment
  • Assists Practice Manager, Head Nurse or Charge Nurse with other tasks and projects as required on an as-needed basis to meet the goals and objectives of the organization.
  • May require lifting/assisting patients
  • Position requires work with hazardous and bio-hazardous materials
  • Requires walking/standing for long periods of time
  • Additional job duties as assigned
Requirements
QUALIFICATIONS:
  • High School diploma or equivalent.
  • Graduate of an approved Medical Assistant program
  • 1 – 2 years of experience in a healthcare setting
  • Experience with electronic medical records preferred
  • MA certification required within 6 months of employment
  • CPR certified
  • Excellent communication and problem solving skills
  • Excellent interpersonal skills and the ability to work effectively with all members of the healthcare team.
