Job summary

Brandywine Urology Consultants is seeking a full-time Medical Office Assistant to support patient intake, chart preparation, and coordination of patient flow. The role requires travel between two locations based on provider assignments and close collaboration with physicians and APPs to ensure accurate charting and timely information flow in the EHR.

  • Coordinate patient flow and manage lab results and communications with providers.

Job Function

This position is primarily responsible for preparing charts, completing patient intake, rooming of patients, and assisting physician or midlevel provider throughout the day. This role will facilitate the flow of patients and their health information throughout the practice. This role will develop a culture of service commitment amongst the team to provide an exceptional customer service experience to BU's patients. This job will require travel between our 2 locations dependent on provider assignment.

Qualifications, Education, Certifications and Training
  • High School Diploma.
  • 2-4 years of medical office experience, Urology experience preferred, not required
Responsibilities
  • Runs appointments lists for clinical sessions to prepare for chart preparation, completes chart preparation 3-5 business days in advance, and contacting patients 3-5 business days in advance to ensure completion of testing.
  • Pulls test results from hospital Physician Portal or DHIN as necessary and input into EHR. Preloads information into the EHR system per practice protocol including, but not limited to the following: pharmacy, referring doctors, and prior medical history including surgeries, medications, and allergies.
  • Prepares all new patient charts and fee slips, to include all available labs, test results, and referral letters.
  • Completes patient intake, documenting all findings in the EHR and at minimum for each visit: height, weight, blood pressure, active medications (adding end dates for non-active medications), vaccinations, past medical histories (e.g. cardiac history, surgical history), social histories, UA, PVR, PSA(s), tobacco use, IPSS form, SHIMs form, and any additional information as directed by the physician or APP.
  • Coordinates patient flow throughout the day.
  • Barcodes and submits to Athena all incoming labs, test results and referral letters in EHR, according to protocol Answers phones and takes appropriate messages, as required.
  • Calls patients when patient's appointment is being rescheduled by the practice.
  • Prepares all charts for all appointments, reviewing each chart for all labs, operative notes, surgical histories, pathology, and HIPAA forms
  • Call labs and/or primary care physician's office for needed test results as applied to upcoming patient visit and input into EHR.
  • Prepares charts for all "add-on" visits.
  • Assists co-workers on an as needed basis.
  • Covers front desk/phone unit when needed per practice protocol.
  • Represents BUC professionally through compliance with HIPAA and the BUC Handbook at all times.
  • Performs various clerical duties as assigned and defined by supervisor.
  • Manage inventory of medical supplies and equip exam rooms with appropriate supplies
  • Continue to build and maintain professional and technical knowledge in urology
