Job Responsibility:

Location: Green Bay, WI

• This opportunity is primarily a Remote based position but there will be occasional meetings and trainings on-site at Lodge Kohler.

Opportunity

Contribute to the growth and profitability of Lodge Kohler by providing quality service to the guest with efficient handling of both transient and group travel accommodations. Advance spa and dining scheduling for all leisure hotel guests. Work closely with Front Desk and Guest Services Manager - Lodge Kohler to move towards a complete central reservations department. The Reservations Coordinator is responsible for advance reservations for the 144-room hotel with dining and spa facilities. Advance scheduling of all hotel guests dining. Promoting guest use of all other hospitality businesses.

Specific Responsibilities

• Supervision – Supervise Guest Services Agents and provide coaching and feedback to maintain high levels of guest service. Assist in coaching and implementing sales strategies to maximize revenue. Enforce policies and maintaining standards.
• Actively participate in training of new associates.
• Maintain accurate and complete associate information with regards to rates, packages, policies and system procedures.
• Write weekly schedule based on call volumes.

Booking Reservations of Transient Rooms, Dining and Activities

• Requires knowledge of room and spa availability and booking procedures. Maintain knowledge of rates, package plans and services available to guests.
• Maintain system to insure each reservation is complete with regards to guests needs, dining, activities or amenities.
• Maintain system to insure that all changes to or cancellations of transient reservations are complete and accurate with appropriate follow-up on dining, amenities and activities.
• Be aware of guests needs, supply all pertinent information including check-in and check-out times, cancellation and deposit policy, dining opportunities and all available guest services, amenities and activities.
• Continue to take guest calls and act as agent whenever volume dictates.

Group Room Blocking

• Responsible for informing sales staff of room availability on request, while determining types of rooms available.
• Responsible for blocking category types and assigning specific rooms to blocks.
• Complete, update and maintain all back up documents for group blocking and adjustments or changes.
• Responsible for all additions, deletions and changes relating to an established room block.
• Responsible for all sales block cancellations and appropriate follow through.
• Monitor and inform reservations staff and other departments of special arrangements and/or special needs for group block, prior to arrival.

Reports and Records

• Functional knowledge and understanding of the weekly and monthly forecast reports to allow assisting in their preparation when needed.
• Marketing and promotion tracking reports
• Room Reservations call report conversion report.

Miscellaneous

• Attend meetings as requested by the Front Desk and Guest Services Manager
• Handle guests complaints with poise and professionalism and ensure the guest feels that you are sincere and that they have a valid point.
• Notify Front Desk and Guest Services Manager of any recurring guest complaints.
• Other duties as requested by management.

Shifts will vary between 8am-6pm, weekends are required.

Skills/Requirements

• High School diploma required, 2 or 4-year degree preferred
• 5+ years' work experience with customer service, preferably in a call center or an administrative role
• Previous Hospitality experience is preferred
• 3+ years' work experience supervising/coaching/mentoring staff strongly encouraged
• Excellent oral and written communication

The hourly range for this position is $22.95 - $28.70. The specific hourly rate offered to a candidate may be influenced by a variety of factors including the candidate's experience, their education, and the work location. Available benefits include medical, dental, vision & 401k.
