Job summary

American Family Care is seeking an Operations Manager to oversee the daily operations of an urgent care clinic and supervise non-physician staff to ensure high-quality patient care.

The role involves leading the team, onboarding staff, coordinating schedules, and ensuring adherence to regulatory guidelines while maintaining facilities and financial accuracy in a fast-paced setting.

Qualifications

  • Bachelor’s degree preferred.
  • Minimum two years of supervisory experience in a medical office.
  • Strong written and verbal communication skills.
  • Ability to deliver high levels of customer service.
  • Understanding of compliance and regulatory guidelines (HIPAA, OSHA).

Responsibilities

  • Provides leadership to the clinic team and supervises non-physician staff.
  • Hybrid role—step in and assist with any role within the clinic.
  • Answer phones, triage patients, and understand insurance reimbursements.
  • Recruit, hire, and onboard front office staff, medical assistants, x-ray, and others.
  • Supervise performance evaluations for non-provider staff.
  • Collaborate with Medical Director to ensure high-quality patient care.
  • Ensure policy compliance and accurate financial transactions.
  • Lead staff meetings and daily huddles; address patient concerns.
  • Maintain facility cleanliness and stock of supplies.
  • Monitor KPIs and drive continuous improvement.

Job Summary

To manage operations for an urgent care clinic. Manage all non-physician clinic staff. Ensure quality of patient care. Ensure maintenance of clinic building and supplies. Ensure complete and accurate charges are attributed to each patient.

Responsibilities
  • Provides leadership to the team
  • Hybrid Role - Be able to step in and help with any role within the clinic.
  • Should be able to answer phones, triage patients, understand insurance reimbursements and plans.
  • Recruit, hire, and complete onboarding processes for various roles; front office medical receptionist, medical assistant, x-ray, and other positions
  • Supervise, evaluate, and execute performance evaluations of non-provider staff
  • Partner with Medical Director to ensure that medical care is delivered in accordance with physician instructions and that high-quality care is rendered
  • Ensure staff compliance with company policies and procedures and state and federal rules and regulations
  • Lead and organize staff meetings, daily huddles, and in-service programs
  • Spearhead the resolution of patient and staff concerns while continually monitoring patient satisfaction through various tools
  • Ensure compliance with front office procedures and accuracy of financial transactions
  • Ensure maintenance and cleanliness of the facility, and adequate stock of regular medical and janitorial supplies
  • Monitor various key performance indicators and put programs in place for continual improvement
Qualifications
  • Bachelor’s degree preferred
  • A minimum of two years experience working in a supervisory role in a medical office preferred
  • Computer proficiency
  • Demonstrated skills in written, verbal, and consultative communications
  • Ability to deliver high levels of customer service and achieve customer satisfaction
  • Understanding of compliance and regulatory guidelines (HIPAA, OSHA, etc.) and revenue cycle management experience preferred

Compensation: $50,000.00 - $60,000.00 per year
