The Catering & Special Events manager is responsible for planning meetings, banquets, and special events for the Club and its members. This individual is an energetic and engaging “people person” with excellent interpersonal skills, including engagement, communication, cooperation, sensitivity, perception, empathy, and a positive attitude toward others. This position upholds the Club\'s standards in all interactions in a professional manner and helps preserve and promote the Club\'s culture of service-excellence and goodwill among members, guests, and staff. The role reports directly to the Director of Catering & Special Events and Assistant Director.
Responsibilities
- Meets and greets members and guests, conducts property tours, promotes facilities and services, and answers inquiries.
- Develops menus, writes contracts and letters, and organizes all arrangements for social, private, and corporate events.
- Maintains an accurate trace system to handle workload effectively.
- Directs and organizes information needed for successful planning and communicates it to the relevant departmental teams to ensure accuracy of coordination, billing, and pricing for each event.
- Coordinates with Culinary and F&B managers regarding pricing for food and beverage options.
- Disseminates necessary information to all department leaders in a timely manner, including up-to-date weekly, monthly, and annual events calendars.
- Organizes and attends pre-conferences for special events to communicate all details for upcoming events.
- Prepares and presents weekly and monthly catering reports as needed.
- Maintains past and potential members/guests files for efficient record keeping; conducts post-event follow-ups including Thank You notes and satisfaction surveys.
- Solicits repeat business by contacting members and guests by telephone.
- Welcomes feedback, including complaints, and determines remedies as appropriate.
- Supports professional development of F&B and Banquet teams and collaborates with the ADOC & Director of Catering & Special Events.
- Works with the Director of Catering & Special Events to create and strengthen Club events, maintaining an active and engaging schedule.
- Helps manage the Club\'s master schedule of catering and special events, including banquet room reservations, to prevent conflicts or double bookings.
- Assists with compliance with all Club rules and policies.
- Adheres to attendance standards and works varying schedules to meet business demand.
Education And Experience
- High School diploma or equivalent (GED) required. A degree in hospitality is preferred but not required.
- Experience in the food and beverage service industry required; 5+ years preferred.
- Experience as Catering and/or Special Events Manager for 3+ years required.
- Minimum 2-3 years of private club or luxury hotel experience preferred.
- Northstar operating system experience is not required, but preferred.
- Computer knowledge of Microsoft Windows-based programs required.
Skills And Attributes
- Extensive knowledge of food and beverage etiquette, guest relations, and service standards.
- Fluency in reading, writing, and speaking English to interact with members and guests.
- Ability to present event information to staff and members/guests in an organized and timely fashion.
- Ability to anticipate members\' needs and wants by being prepared and organized with a sense of urgency.
- Strong critical thinking, attention to detail, organizational and project management skills.
- Analytical skills to lead, facilitate, plan and organize.
- Basic mathematical skills to prepare reports, calculate estimated event charges, deposits due, and minimum revenue requirements.
- Ability to work within parameters set by various club departments (reservations, timing, member preferences).
- Superior interpersonal skills and excellent written and oral communication.
- Ability to interact effectively with members, guests, and staff at all levels in a fast-paced environment with professionalism and confidentiality.
- Proficiency with computers and general office equipment.
- Excellent customer service skills and a courteous, friendly personality.
- Ability to manage multiple tasks concurrently, meet deadlines, and provide excellent member service.
- Self-motivated, adaptable to change, and committed to a strong work ethic that encourages others to deliver results.

Work Environment
- Most tasks are performed indoors with a climate-controlled environment; some work may occur in varying conditions, indoors or outdoors, with exposure to heat and cold.
- Ability to sit for extended periods and to stand, walk, and move as required by tasks.
- Physical requirements include reaching, finger dexterity, communication, vision, hearing, and the ability to lift and carry up to 15 pounds.
