Job summary

HTU in Hawaii is seeking an entry-level administrative assistant to provide fiscal and office support for the TRIO Student Support Services program. You will manage student records, assist with data entry and reporting, and help evaluate eligibility for services.

The role requires a bachelor’s degree with professional office experience or an equivalent combination, proficiency with Microsoft Office and Google Suites, and the ability to work days, evenings, and weekends.

Qualifications

  • Ability to complete tasks effectively and timely.
  • Proficiency with personal computers and word processing software including Microsoft Office and Google Suites.
  • Valid driver's license and ability to drive for program errands.
  • Availability to work days, evenings, and weekends as directed.
  • Desirable qualifications include a master’s degree, experience in TRIO or similar higher education equity programs, and experience working with diverse populations overcoming higher education barriers.
  • Familiarity with Banner, STAR, Student Access, or similar student information databases and degree audit software.
  • Ability to adapt quickly to change and handle varied assignments.
  • Strong problem-solving skills using creative reasoning and logic.
  • Experience in customer service relations with strong interpersonal and communication skills.
  • Preference for candidates with TRIO-specific training sponsored by the U.S. Department of Education or the Council of Opportunity in Education.

Responsibilities

  • Perform entry-level administrative and fiscal support functions.
  • Manage electronic and physical student records and files, ensuring compliance with federal requirements for TRIO Student Support Services Program participants.
  • Maintain and manage existing program databases (Student Access).
  • Assist with tracking and documenting student services, data entry, and preparing reports on a weekly, monthly, quarterly, and annual basis.
  • Prepare and process student applications for Project Director review and evaluate eligibility for program services.
  • Collaborate with project staff to develop, implement, and evaluate recruitment strategies; prepare and conduct presentations; organize and attend recruitment events.
  • Assist with contacting vendors, obtaining quotations, monitoring expenditures, and reporting irregularities to the Student Support Services Director.
  • Provide support services to eligible college students in academic advising, financial aid/scholarship counseling, career planning, and personal guidance.
  • Organize and manage program supplies and inventory, including supply loans, forms, and spreadsheets.
  • Manage program communications with students and staff, including mailings, emails, phone calls, meeting agendas, and accurate meeting notes.
  • Assist with supervising student assistants, including training and scheduling.
  • Assist with developing, coordinating, and evaluating program workshops, activities, and events.
  • Perform other duties as assigned by the Director; assignments may include evening and weekend work.

Compensation & Benefits
