Position Summary

  • Prioritize work with a significant degree of independence.
  • Operate under general supervision.
Essential Job Functions
  • Responsible for case intake, including preparing cases for service by analyzing initial pleadings to ensure jurisdiction and conformity with requirements.
  • Process initial claims, which may include drafting deficiency notices for deficient claims or reservice of claims when original service is unsuccessful.
  • Analyze and process subsequent pleadings, including answers, counterclaims, cross-claims, and third-party claims.
  • Monitor case-related reports to ensure compliance with deadlines and expectations.
  • Meet all required service level agreements (SLAs) for assigned work.
  • Maintain motions calendars, solicit responses as needed, and prepare documentation for timely submission to arbitrators.
  • Make recommendations regarding administrative motions and administratively process substantive issues for panel decisions, with assistance.
  • Assess applicable fees at various stages of a case and make written recommendations regarding fee waiver requests.
  • Review challenges to potential arbitrators, solicit responses, and make recommendations to management regarding final determinations.
  • Ensure all applicable fees are assessed and billed in accordance with governing rules and procedures.
  • Conduct financial reviews of settled or withdrawn cases and close cases within expected timeframes.
  • Process final financial reviews of settled or withdrawn cases and hearing awards, and close cases within expected timeframes.
  • Review incoming submissions and take appropriate action with assistance.Determine proper panel composition, generate arbitrator lists, review arbitrator information for conflicts, and eliminate arbitrators with conflicts, with assistance.
  • Replace arbitrators on lists due to unavailability and process new or additional lists resulting from changes in panel composition.
  • Utilize electronic portal and internal docket management systems to process assignments.
  • Provide excellent customer service by responding to inquiries, orally and in writing, regarding arbitration policies and procedures, service of pleadings, case status, fee assessments, and portal usage.
  • Maintain electronic and physical files and enter all case-related information into the case processing system in accordance with established protocols.
  • Effectively prioritize work with management oversight.
  • Demonstrate organizational values in all aspects of work.
  • Collaborate effectively, both in person and virtually, in support of the organization's mission and objectives.
Other Responsibilities
  • Perform additional duties as assigned by management, including presentations and public speaking engagements.
Education & Experience Requirements
  • Bachelor's degree and 1-3 years of related experience, or an equivalent combination of education and experience.
  • 3-5 years of paralegal experience
  • Paralegal certificate
  • Expertise using desktop computers, the full suite of electronic office applications, and standard office equipment.
  • Familiarity with electronic docket management programs and web-based portal systems preferred.
  • Excellent customer service, interpersonal, written communication, and verbal communication skills required.
Working Conditions
  • Hybrid work environment with defined in-person presence requirements.
  • Minimum of three (3) days per week in the office.
