Job summary

Leech Lake Band of Ojibwe is seeking an Administrative Support Specialist to assist case managers by maintaining client files, entering data into MMIS, and supporting Medicaid and other assistance steps.

Under direct supervision, you will handle intake, documentation, billing readiness, and scheduling, while upholding confidentiality and HIPAA requirements. Travel may be required; strong MS Office skills and teamwork are essential.

Qualifications

  • High School Diploma or General Education Diploma (G.E.D).
  • Knowledge of and experience with HIPAA.
  • Proficiency in Microsoft Office Applications: Word, Excel, PowerPoint, and Publisher.
  • Clear written and oral communication skills.

  • Ability to prioritize work and meet deadlines.

Responsibilities

  • Maintain confidentiality for all clients and program operations.
  • Maintain client files, including documentation of any interaction with clients.
  • Answer phones and do intake screening.
  • Establish helping relationships with clients and families.
  • Serve as a point of contact by phone and in person for clients and others for follow-up activities.
  • Assist clients in applying for Medicaid and other types of assistance (food shelf, energy assistance, etc.).
  • Assist with collecting, reporting, gathering, and documenting data for case management process.
  • Prepare and submit documentation and reports within required timelines.
  • Establish and maintain systems for filing, requisitions, check requests, billing, etc.
  • Attend and participate in professional development, such as training and workshops as required.
  • Participate in program development and quality assurance activities.
  • Attend and/or conduct all mandatory meetings and trainings as required.
  • Maintain confidentiality and professional ethics at all times.
  • Travel in and out of the state on a possible regular basis.
  • Understanding and sensitivity to Native American culture.
  • Adhere to policies governing staff conduct.
  • Mail/or fax assessment results, supplemental summary, and support plan to clients and provider.
  • Send billing statements to clients on Alternative Care monthly fees due.
  • Complete purchase orders for Alternative Care payments, phone cards, and any other office supplies.
  • Use MMIS to enter service agreements.
  • Submit monthly billing for waiver cases.
  • All other duties as assigned.

License/Certification Requirements: None.

Summary: With direct supervision from case managers and/or social workers, provide administrative support to assist in implementing and monitoring client community support plans. Ensure that individual client files contain all documentation required by State and Federal statute, contract or grant terms and/or program policies and procedures. Enter data into State Medicaid Management Information Systems (MMIS) in a timely manner to maximize reimbursement for covered services.

Education Requirements and Experience:

High School Diploma or General Education Diploma (G.E.D).

Additional Qualifications and Skills:

Knowledge of and experience with the Patient Privacy Act and Health Insurance Portability and Accountability Act (HIPPA).

Knowledge of resources available to meet: financial, medical, housing, employment, and other needs of elders and people with disabilities.

Proficiency in Microsoft Office Applications: Word, Excel, PowerPoint, and Publisher.

Clear written and oral communication skills.

Ability to work as a team member.

Ability to prioritize work and meet deadlines.

Pre-employment drug testing is mandatory for all Leech Lake Band of Ojibwe positions.

Physical Requirements:

Requires prolonged sitting, some bending and lifting.
