Position Summary

This recruitment will be used to fill a pool of part-time Student Event Assistants within the Event Services Unit at Oregon State University-Cascades, located in Bend, Oregon. Applications will be accepted year-round for the 2025-26 academic year. Student Event Assistants support the preparation, execution, and breakdown of university events and conferences. Students can expect to work based on event schedules and staffing needs, with flexibility during both the summer term and academic year.

Position Duties

  • Event Setup and Breakdown: Assist with setting up and dismantling event furniture, signage, equipment, catering materials, and A/V components.
  • Event Support: Provide support during events including guest check-in, event monitoring, customer service, assisting with catering and/or A/V needs, and ensuring event spaces remain safe and welcoming.
  • General Event Logistics: Assist Event Managers and Coordinators in preparing supplies, organizing storage spaces, and maintaining event equipment.
  • Campus Representation: Represent Event Services professionally to event clients, campus partners, and community guests.
  • Youth Protection, Food Safety, and Alcohol Compliance Support: Serve as an Authorized Adult when supporting events involving youth participants. Assist with food safety monitoring and alcohol service compliance when applicable to event operations.
  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services ( USCIS ). A reduced course load is approved by the Office of International Services ( OIS ), and must be provided to the Student Employment Center.

Additional Required Qualifications

  • Ability to lift and carry up to 50 lbs.
  • Ability to be reliable, punctual, and professional.
  • Ability to work independently and collaboratively.
  • Demonstrate basic organizational and communication skills.
Preferred (Special) Qualifications
  • Current full-time OSU -Cascades student or degree partnership student with OSU -Cascades and COCC , with a cumulative GPA of 2.50 or higher.
  • Previous experience in event setup, customer service, or related fields.
  • Proficiency in Microsoft Office Suite.
  • Possess or willingness to obtain OLCC Alcohol Server Permit within 30 days of hire (employer-paid if applicable).
  • Possess or willingness to obtain Oregon Food Handler’s Card within 30 days of hire (employer-paid if applicable).
  • Possess or willingness to obtain Authorized Adult status from OSU’s Office of Youth Protection.

Working Conditions/Work Schedule

  • Part-time, flexible employment based on event schedules and staffing needs.
  • Shifts will be posted for students to review and select based on their availability; there are no standard weekly hours or assigned schedules.
  • Evening and weekend shifts may be available depending on event needs.
  • Work involves physical tasks including lifting, moving, standing, and walking for extended periods.
  • Work may be performed indoors or outdoors in various weather conditions.
Compensation
  • $17.30/hour, approximately 5 hours/week.
  • T-shirt, knit-pullover, rain jacket, and nametag provided during training.
  • Students submit a monthly timesheet for supervisor approval on the 15th of each month and are paid at the end of each month.
Training Provided
  • Mandatory training on abuse prevention and reporting, information technology security, youth protection, and diversity/inclusion.
  • Job-specific event setup, safety, and customer service training (see Anticipated Hiring Schedule).
